Position Summary

Provides patient care in the office setting. Provides care that meets the psychosocial, physical, and general aspects of care; meets the communication needs of patients and families; and provides care that reflects initiative and responsibility indicative of professional expectations under the supervision of a Registered Nurse and/or physician.

Maintains regulatory requirements, nursing and office policies, procedures, and standards. Communicates with physicians and team members regarding patients" clinical conditions, including results of diagnostic studies and symptomology.

Required Qualifications

  • High School Diploma or equivalent.

  • Medical Assistant training/certification

  • Some Women"s Health experience required.

  • Bilingual or multilingual skills preferred. Ability to communicate in English and an additional language is highly desirable and supports engagement with diverse patient populations.

  • Current CPR or CPR/AED certification.

  • Knowledge of patient care, addiction treatment, and mental health disorders.

  • Knowledge of community resources, including Medicare, Medi-Cal, Supplemental Security Income (SSI), and the county's General Assistance Program.

  • Demonstrated commitment to providing services to underserved populations and sensitivity to working with individuals from diverse educational, lifestyle, ethnic, and cultural backgrounds, including:

  • Disabled individuals

  • Homeless individuals

  • Substance users

  • Individuals living with HIV/AIDS

  • Physiologically impaired populations

  • Excellent interpersonal skills.

  • Ability to establish and maintain positive, professional relationships.

  • Ability to maintain detailed records.

  • Commitment to HIPAA and ability to uphold standards of professional ethics and confidentiality.

  • Adherence to infection control procedures, including but not limited to:

  • Temperature monitoring

  • Hand hygiene

  • Symptom self-monitoring

  • Masking

  • Social distancing

  • Ability to assist and support the Center/Department/Program in meeting High Reliability standards.

Essential Responsibilities

Clinical Support

  • Perform Medical Assistant duties, including:
  • Preparing exam rooms
  • Rooming patients
  • Taking medical histories
  • Recording vital signs
  • Taking temperatures
  • Performing venipuncture
  • Administering immunizations

Authorizations & Insurance Coordination

  • Obtain prior authorizations for medications, prescriptions, laboratory services, diagnostic testing, and specialty treatments by:

  • Verifying insurance requirements

  • Completing and submitting authorization requests

  • Monitoring approval status

  • Communicating outcomes to providers, pharmacies, and patients

  • Ensure timely patient access to care.

Patient Scheduling & Care Coordination

  • Coordinate and schedule patient services and procedures, including:

  • Labor inductions

  • Non-Stress Tests (NST)

  • Amniotic Fluid Index (AFI) assessments

  • Infusion appointments

  • Gynecologic surgeries

  • Ensure all required orders, authorizations, documentation, and pre-procedure instructions are completed and communicated to patients and clinical staff.

Preventive Care & Recall Programs

  • Manage patient recall programs for preventive screenings, including:

  • Pap smears

  • Mammograms

  • Maintain accurate tracking records.

  • Identify patients due for services.

  • Conduct patient outreach.

  • Schedule follow-up appointments.

  • Support quality care initiatives and regulatory compliance.

Communication & Administrative Support

  • Monitor and manage shared departmental inboxes by:

  • Reviewing incoming messages

  • Responding to routine inquiries

  • Routing requests to appropriate clinical or administrative staff

  • Ensuring timely resolution and follow-up

  • Maintain communication with patients, providers, and pharmacies.

Patient Follow-Up

  • Communicate proactively with patients regarding:

  • Follow-up care needs

  • Appointment scheduling

  • Referrals

  • Testing requirements

  • Treatment plans

  • Provide clear instructions and answer questions to promote continuity of care and patient satisfaction.

Triage Support

  • Support the triage department with incoming and outgoing telephone calls.

Documentation & EMR Management

  • Maintain accurate and timely documentation within the Electronic Medical Record (EMR) system, including:

  • Patient communications

  • Scheduling activities

  • Authorization status updates

  • Recall efforts

  • Other administrative actions

  • Ensure compliance with organizational policies and regulatory requirements.

Collaboration

  • Collaborate with:

  • Providers

  • Nursing staff

  • Referral coordinators

  • Insurance representatives

  • External facilities

  • Facilitate efficient care coordination.

  • Resolve scheduling and authorization issues.

  • Ensure patients receive timely and appropriate services.

Additional Responsibilities

  • Prioritize and manage multiple responsibilities in a fast-paced healthcare environment.
  • Maintain patient confidentiality.
  • Provide exceptional customer service.
  • Ensure compliance with HIPAA and organizational standards.
  • Refer patients to the primary healthcare team as appropriate.
  • Travel as needed to support operational requirements.
  • Perform other duties as assigned within the Medical Assistant scope of practice.
  • May be required to work evenings, weekends, and holidays.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.
