Hourly Pay Range (Minimum - Midpoint - Maximum):

$25.300 - $30.360 - $34.000

The stated pay scale reflects the range that Sharp reasonably expects to pay for this position. The actual pay rate and pay grade for this position will be dependent on a variety of factors, including an applicants years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and employer business practices.

What You Will Do

Under supervision, this position supports scheduling of patients for the High Risk Infant Follow-Up (HRIF) Clinic, management of equipment and supplies, clerical responsibilities, billing and reporting requirements.

Required Qualifications

  • H.S. Diploma or Equivalent
  • AHA Basic Life Support for Healthcare Professional (AHA BLS Healthcare) - American Heart Association -REQUIRED
  • Certified Medical Assistant (CMA) - California Certifying Board for Medical Assistants OR Certified Clinical Medical Assistants (CCMA) - National Healthcareer Association -REQUIRED

Preferred Qualifications

  • 1 Year within a hospital and/or medical setting with on-line scheduling experience.

Essential Functions

  • Customer Service

Greets and makes welcome a variety of customers by the telephone and in person.

Obtains information from visitors/callers, directs as appropriate or takes complete and accurate messages. Acts on requests for customer service.

Uses scripts as appropriate including answering phones, transferring calls and service recovery. Answers phone within four rings, transfers calls as indicated.

Responds to all inquiries with timeliness that promotes customer satisfaction.

Communicates effectively with all levels of staff and uses chain of command per department policy.

  • Equipment and Supplies

Obtains, discards, stores and cleans equipment according to policy/procedure and manufacturer guidelines.

Enters work order to facilitate repair of equipment, reports urgent or unresolved equipment malfunction to supervisor or the appropriate department (Biomed, Material Management, etc.).

Manages and operates equipment safely. Ensures integrity and sterility of supplies.

Checks and restocks exam rooms and restocks supplies e.g. clerical patient care. Ensures compliance safety regulations e.g. equipment does not block fire exits.

Monthly checks of expiration dates of supplies in clinic, removing and replacing those expiring that month.

  • Health Information Management Functions

Manages patient information per Sharp HealthCare confidentiality and Health Insurance Portability and Accountability (HIPAA) policies.

Establishes and maintains medical record per department guideline.

Requests medical records, films, or other medical record as required.

  • Order Entry

Accurately enters orders in electronic information systems per department guideline.

Completes order entry via "down time" procedures when electronic information systems are not available.

  • Patient Account Processing

Procures necessary authorization to support patient's care plan including Service Authorization Request (SAR) form.

Checks California Children's Services (CCS) Website for authorization and communicates this to Patient Financial Services staff.

Accurately registers patients according to guidelines.

Enters patient charges into computer within 24 business hours of date of services and per corporate compliance policy.

Reconciles daily charges to ensure no missed charges.

Responds to request for additional insurance information within 24 business hours as directed.

  • Patient Care

Assists with the initial nursing assessment by accurately measuring and recording the patient's height, weight, blood pressure, temperature/pulse/respiratory rate, and head-circumference.

Reports all abnormal vital signs and/or observations promptly to a nurse or physician.

Assists the physician or nurse by preparing the patient and/or setting up equipment or supplies.

Provides for a smooth overall patient flow for the Clinic by escorting the patients to/from the exam rooms and by monitoring room availability in addition to patient wait times.

Completes all relevant forms related to the visit.

Cleans room and developmental testing equipment after each patient.

  • Schedule Management

Schedules all HRIF Clinic visits as directed.

Prints copies of schedules and routes/posts for appropriate departments/modalities.

Prepare for next day appointments, exam rooms prepared.

Knowledge, Skills, and Abilities

  • Bilingual Spanish preferred.
  • Ability to perform duties according to specific written and/or verbal instructions and to accurately maintain scheduling documentation.
  • Ability to organize, assemble, file and maintain accurate records.
  • Knowledge of medical terminology.
  • Have basic computer skills.
  • Effective interpersonal and communication skills, verbal and written.
