Look Lab Med Spa is a fast-growing luxury aesthetic brand with locations across the U.S., specializing in injectable aesthetics, advanced regenerative treatments, and curated facial services. We are known for natural, elevated results and a patient experience rooted in our core belief: Look Good, Feel Good, Do Good.
We are seeking a highly organized, proactive, and polished Medical Assistant whose primary focus is clinic flow efficiency—keeping providers on schedule, preparing rooms, supporting injectors, and ensuring every patient has a seamless experience from start to finish.
This is NOT a traditional back-office MA role. This role is a hybrid of clinical support, high-level logistics, patient flow management, and hands-on assistance with our injectors.
Key Responsibilities
These reflect the real Look Lab workflow and the tasks that will make your injectors more efficient:
Clinic Flow & Injector Support (Primary Function)
Move patients through the full appointment flow smoothly and on time
Prepare treatment rooms before each patient and turn them over quickly afterward
Assist injectors with treatment flow, supply setup, photo capture, and patient positioning
Anticipate provider needs to keep appointments running efficiently
Support treatment planning by preparing face sheets, forms, and before/after photos
Gather supplies and ensure injectors never have to stop their treatment flow
Manage charting support tasks such as prepping templates and ensuring accuracy
Maintain organization of back-of-house areas and clinical workstations
Ensure injectors stay on schedule by managing room timing, patient handoff, and transitions
Patient-Facing Duties
Greet and escort patients to and from treatment rooms
Prep patients: cleanse face, review pre-care steps, set expectations
Assist with post-care education and ensure a smooth checkout pathway
Provide warm, luxury-level patient experiences
Support the Patient Concierge during busy times
Clinical Responsibilities These are important but not the main focus of the role:
Perform venipuncture with confidence
Draw blood for PRP/PRF and prepare tubes and centrifuge
Maintain sterile technique during all clinical tasks
Support injectable, microneedling, and regenerative medicine workflows
Maintain tight compliance with protocols and safety procedures
Phlebotomy is required, but the real core is operational excellence and keeping the injector focused solely on patient care.
Required Qualifications
Certified Medical Assistant (CMA, RMA, CCMA, or equivalent medical assisting education)
Documented phlebotomy training (Phlebotomy certification preferred but not required)
Strong venipuncture skills
Experience in aesthetics, dermatology, plastic surgery, or cosmetic medicine preferred
Exceptional organizational and multitasking skills
Professional, warm, and luxury-service communication style
Ability to follow detailed workflows without constant direction
High level of integrity, reliability, and discretion
