Matrix Providers is hiring a Medical Appointment Clerk - Internal Medicineto join our team of talented professionals who provide health care services to our Military Service Members and their families in Walter Reed National Military Medical Center Bethesda, MD.

  • Employment Status: Full-time
  • Compensation: This is an hourly position. $21.00-23.42/hr + H&W $5.09/hr
  • Schedule: Monday through Friday. Estimated 0700-1600.

Minimum Qualifications:

  • Degree/Education: High School diploma or General Educational Development (GED) equivalency. Basic medical terminology required.
  • Experience: Must have a minimum of one-year professional experience in medical office scheduling.
  • Certification: Basic Life Support for Healthcare Providers, American Heart Association, or American Red Cross Healthcare Provider Course.
  • Legal Authorization to Work in the United States: The contract worker performing under this contract must be a U.S. Citizen.

Core Duties:

  • Schedules appointments in a government computer system for primary care, specialty and subspecialty medical care. In addition to scheduling requested appointments, this position will call patients or respond to secure messaging submissions to schedule, reschedule, and/or cancel appointments as needed, to include appointments for consult/referral specialty care within the MTF or at civilian facilities.
  • A fully qualified typist (computer keyboard) with a minimum of 50 WPM is required.
  • Clearly speak and understand the English language.
  • Use of standard office equipment, such as personal computers, copies, fax machines, and telephone systems
  • Shall have experience with computers.
  • Shall have experience and efficiency in word processing and data entry.
  • Shall have experience in interpreting medical terminology, anatomy and physiology, pharmacology, disease processes and treatment modalities to the extent necessary for successful completion of performance requirements.
  • Shall have the ability to understand, analyze, and interpret medical information.
  • Shall have experience in data collection techniques and medical data collection codes.
  • Shall have experience in verifying data and correcting errors.
  • Shall have experience in working with patient medical records.
  • Shall have experience in gathering data, compiling information, and preparing reports.
  • Shall be able to read, write, speak, and understand English well enough to effectively communicate with customers.
  • Shall be knowledgeable of equipment and supply terminology and skill sufficient to identify and use necessary equipment and supplies properly.
  • Unique Military Health Care Systems/Procedures:

  • Provide administrative service support for various clinic customer service areas.
  • Support shall encompass checking patients in and out.
  • Answer incoming phone calls.
  • Direct callers/visitors as appropriate.
  • Schedule follow up appointments.
  • Notify patients of appointment dates and times.
  • Input data, complete, scan and edit ambulatory Data Forms.
  • Coordinate internal team function and meeting.
  • Assist patients in coordinating their care in other clinics.
  • Handle and prioritize multiple tasks in a fast-paced team environment.
  • Coordinate patients to be seen on outside that have been referred to network to include sending appropriate documents to facilitate care.
  • Review kickback referrals from the sub-specialty clinic and obtain required information from the provider or patient.
  • Use of Relay Health Secured Messaging Application to communicate with patients.
  • Correct 222 errors, disposition of patient, in MHS Genesis Ambulatory Data Module of missing information from notes.
  • Scan notes, documents, EKGS, into HAIMS, MHS Genesis.
  • Scan notes into fax system to send to outside provider for coordination of care.
  • Scan laboratory results from outside providers into patient records.
  • Participate in meetings to review and evaluate the care provided to patients, identify opportunities to improve the care delivered, and recommend corrective action when problems exist.
  • Participate in clinical staff quality assurance functions and clinic Performance
  • Improvement/Risk Management Programs as prescribed by the Commander.
  • Attend command orientation. Orientations include initial training requirements (e.g., fire, safety, infection control, and family advocacy) and information systems orientation including MHS Genesis and the Ambulatory Data Module (ADM), S3 Surgical Scheduling System). The Government reserves the right to adjust orientation schedules to meet mission and workload requirements.
  • Clinic orientation for the health care worker shall take place during regularly scheduled shifts immediately following the commencement of services.
  • Annual renewal of command directed training requirements including but not limited to customer relations, disaster preparedness training, sexual harassment, family advocacy, and infection control and blood borne pathogens.
  • Perform necessary administrative duties that include maintaining statistical records of the HCW's workload operate and manipulate automated systems such as MHS Genesis participating in clinical staff Performance Improvement (PI) and Risk Management (RM) functions as prescribed by the commander.
  • Perform administrative duties as directed by supervisor(s) including but not limited to reproducing medical or educational materials, assisting with mailings and phone reminders, preparing documents, and other support functions.
  • Maintain patient medical records, logs, and unit records.
  • Schedule approximately 20-30 appointments daily.
  • Input over 50 data forms daily.
  • Support over 268 department civilians, active duty, and other support staff.
  • Greet, direct, and assist over 50 daily visitors/patients per team.
  • Review daily all kickback referrals, average about 5 per day.
  • Relay Health Message 50 Messages that come through relay health, determine who the message should go to and respond to all the "administrative messages", vastly cutting down on the nursing/provider workload.
  • Daily phone calls 25-35 daily.
