Materials Supervisor

The Materials Supervisor plays a vital leadership role in supporting daily university operations by ensuring the efficient movement of mail, packages, freight, and materials across campus.

This is a highly visible, hands-on leadership role responsible for overseeing distribution services, warehouse operations, and a large student workforce. You will serve as a key partner to campus departments, vendors, and delivery carriers—balancing operational efficiency with excellent customer service in a fast-paced, constantly evolving environment.

This role is ideal for someone who thrives in logistics and operations but also enjoys building relationships, leading teams, and solving complex, real-time challenges.

About the Team & Environment Distribution Services supports the campus community through the receiving, processing, sorting, and delivery of mail, packages, freight, and surplus materials.

  • Lead a team of 20+ student employees, many with changing schedules and work-study limitations
  • Work across office, warehouse, and campus environments
  • Serve as the face of distribution services, interacting daily with students, faculty, staff, and vendors
  • Operate in a fast-paced, service-driven setting with fluctuating workloads and increasing package volumes

What You'll Do Campus Distribution & Mail Operations (50%)

  • Oversee end-to-end campus mail and package services
  • Develop and optimize delivery routes, schedules, and tracking systems
  • Ensure compliance with USPS and shipping regulations
  • Manage bulk mailings, postage accounts, and mailing equipment
  • Resolve delivery issues, missing packages, and service concerns with professionalism
  • Maintain accurate delivery directories and improve service processes
  • Collaborate with departments and carriers to meet evolving campus needs

Warehouse & Facilities Operations (25%)

  • Support daily warehouse operations including receiving, storage, and distribution
  • Maintain safe, clean, and well-organized spaces
  • Evaluate and enforce storage policies—especially for non-stock or oversized items
  • Partner on space planning and process improvements
  • Balance limited warehouse capacity with departmental needs and expectations

Leadership & Student Workforce Management (15%)

  • Supervise, coach, and develop a team of 20+ student employees
  • Recruit, hire, train, and schedule staff based on operational demand and student availability
  • Continuously adjust staffing to account for class schedules, work-study limits, and turnover
  • Foster a positive, accountable, and service-oriented team culture
  • Provide performance feedback and support employee development

Budget & Administration (10%)

  • Monitor and manage postage, shipping, and supply budgets
  • Process billing, credits, and financial reporting
  • Identify cost-saving opportunities while maintaining service standards

MINIMUM QUALIFICATIONS:

Experience Only: MUST BE A CURRENT CSM EMPLOYEE. Four (4) years of relevant experience in an occupation related to the work assigned to this position, including:

  • Experience in logistics, operations, distribution, mail services, or warehouse management
  • Demonstrated leadership experience, including supervising teams and/or student employees
  • Strong organizational and problem-solving skills in a fast-paced environment
  • Excellent customer service and communication skills
  • Ability to navigate competing priorities and fluctuating workloads
  • Familiarity with shipping and mailing processes (USPS knowledge preferred)

OR Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to four (4) years (Transcripts must be attached for educational credit)

  • Knowledge of campus operations and service delivery models
  • Prior relevant state service
