Overview:

Sage Dental is looking for a Marketing Specialist to support the daily operations of the Marketing Department by managing communications, coordinating complex projects, ensuring accurate and timely execution of marketing requests, and playing a key role in supporting new practice set-ups. This position is ideal for a highly organized, proactive professional with strong project management and communication skills who can navigate a fast-paced, multi-location healthcare environment. Critical thinking, attention to detail, and the ability to collaborate across departments are essential.

Responsibilities:

Marketing Communications

  • Draft, edit, and support distribution of internal and external marketing communications.
  • Maintain consistent brand voice and ensure all content aligns with organizational standards.
  • Support communication flow between marketing, operations, and clinical teams.

Marketing Inbox & Request Management

  • Serve as the primary point of contact for the marketing inbox, triaging and responding to requests in a timely manner.
  • Evaluate requests for clarity, scope, and required resources; escalate as needed.
  • Track request volume, workflow status, and turnaround times.

Project Management

  • Coordinate marketing projects from initiation through completion, ensuring deadlines are met.
  • Maintain project timelines, deliverables, and communication logs.
  • Collaborate with cross-functional teams, vendors, and internal stakeholders to support campaign execution and operational initiatives.

New Practice Set-Up

  • Partner with operations and field teams to coordinate marketing needs for new practice openings or acquisitions.
  • Support signage, collateral preparation, digital listings, marketing materials, and local marketing execution.
  • Ensure all assets and communications are aligned with brand standards and ready for launch.

Phone Line Testing

  • Conduct routine phone line testing to verify call routing, messaging accuracy, and patient experience consistency.
  • Document findings and coordinate corrections with other departments as needed.

Community Marketing

  • Support local office and community-level marketing initiatives, including events, partnerships, networking efforts, referral programs, and brand visibility activities.

Proofing & Audit Support

  • Review marketing materials for accuracy, clarity, formatting, and brand consistency.
  • Assist with periodic audits of marketing content, digital listings, and practice profiles to ensure accuracy and compliance.

Qualifications:
  • Bachelor’s degree in Marketing, Communications, Business, or a related field preferred.
  • 5–8 years of experience in a marketing, communications, or marketing operations role.
  • Experience in healthcare, multi-location retail, or service industries is a plus.
  • Proficiency with project management tools, CRM or ticketing systems, and Microsoft Office.
  • Strong editorial, proofreading, and organizational skills.
