A DAY IN THE LIFE:

Primary activities include coordination of sales onboarding of new hires, processing POs and contracts, logistical coordination of sales and/or marketing meetings as appropriate and processing third party event requests. Secondary activities include specialized administrative support to Brand Operations management. Coordinates activities between departments and outside parties including vendors. Works with company personnel at all organizational levels to execute tasks. Work is generally of a critical or confidential nature.

The Marketing and Sales Admin will also be responsible for:

  • Administrative management of the calendars of the VP of Marketing and the VP of Sales. Coordinating / scheduling meetings, general calendar management, triaging, and prioritization of time.
  • Managing / submitting expense reports for the VP of Marketing, VP of Sales, and the Area Sales Directors.
  • Facilitation for booking / reserving travel for VP for Marketing and VP of Sales via our Concur Travel & Expense in accordance with company travel and expense policies.
  • Internal event management and coordination, for home-office meetings as well as remote location meetings: helps to source location, facilitate contracting and logistics for internal meetings at the home office as well as internal corporate meetings at remote locations (e.g. sales meetings, QBRs, regional meetings, supporting logistical role for the National Sales Meeting, as well as coordination and support for internal Marketing meetings, and on-site HCP meetings and site visits.) Fluent in hotel / venue sourcing, food and beverage contracting, AV, and essential elements to facilitate small to medium scale internal meetings.
  • Supports new field sales employees with onboarding process by creating CRM records & UPS accounts and shipping marketing materials.
  • Coordinates the Tandem demo pump pool / Pump Accelerator Program for the field sales team including shipping pumps, tracking returns and documenting in CRM as appropriate.
  • Provides on-site support for sales training classes and sales management meetings.
  • Provides a wide variety of administrative support for both sales management and the field sales team. Gathers and assembles information from a variety of sources, and prepares reports, manuals, agendas, correspondence and memoranda as needed.
  • Works with Finance and Purchasing departments to ensure all Marketing check requests, credit card purchase forms and invoices are approved per the company's accounting policy and submitted in a timely manner while maintaining proper back up documentation.
  • Organizes and maintains ordering process for sales supplies and marketing collateral for the field team.
  • Compiles and keys in monthly supply orders into CRM database.
  • Coordinates the Tandem demo pump pool / Pump Accelerator Program for the field sales team including shipping pumps, tracking returns and documenting in CRM as appropriate.
  • Plans project processes and timelines to guide department resource management
  • Builds relationships with and supports the interests of all stakeholders, while objectively managing brand project and task priorities.
  • Administers brand experience and creative task assignments and schedules using project management software.
  • Supports platform publishing and content management of brand creative assets.
  • Documents all interactions and calls into the CRM system in accordance with QA/RA and HIPAA guidelines.
  • Confirms completion of required training plan before assuming job responsibilities.
  • Continuously seeks to improve systems, evaluates processes and methods and recommends best practices.
  • Provides feedback to management team on an as-needed basis.
  • Ensures work is performed in compliance with company policies including Privacy/HIPAA and other regulatory, legal, and safety requirements.

WHAT YOU'LL NEED:

  • High School degree required, BS preferred, with 2 - 4 years of related experience.
  • Must be experienced with Concur Travel & Expense.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Able to effectively share information related to work product in verbal and written form.
  • Able to contribute to the team by supporting the acceptance of new team members.
  • Demonstrated ability to work accurately and with initiative and handle multiple priorities with minimal supervision.

WHEN & WHERE YOU'LL WORK:

Hybrid; must me located in the San Diego area: This role will be a mix of in-office work at our corporate headquarters in Del Mar, CA and remote work. This position is expected to be in office 2-3 days per week but may vary depending on business demands.

COMPENSATION & BENEFITS:

The starting base pay range for this position is $28.00 - $32.00 per hour. Base pay will vary based on job-related knowledge, skills, experience and may also fluctuate depending on candidate's location and the overall job market. In addition to base pay, Tandem offers a competitive compensation package that includes bonus and a robust benefits package.
