This is a hybrid position based out of our West Chester, PA office. Incumbent will report to West Chester weekly on Thursdays. Budgeted salary is $85,000-$95,000 annually.

Job Summary: The Marketing Project Manager will assume responsibility for the day-to-day execution of projects and programs and is the direct liaison between the internal departments, external vendors, and Marketing and Communications. The Marketing Project Manager will oversee the launch of campaigns from start to finish and manage campaign kickoff events which include leading a project from the initial brainstorming and research phase, straight through implementation or production, and on to debriefing and reporting. In this role, the ideal candidate must ensure the team is adhering to processes and procedures, ensuring high levels of accuracy in order to achieve AccessLex Institute and Helix Bar Review marketing goals and objectives. Continuous improvement and enhancement of processes and excellent communication with project leads on progress, issues, changes, etc. are key to being successful in this role.

Responsibilities and Duties:

  • Learn all aspects of targeted, multi-channel marketing operations to assist with campaign management.
  • Become well versed in Company brand guidelines and fully understand all Company products, programs, tools and resources for both AccessLex Institute and Helix Bar Review.
  • Manage intake, evaluation, scheduling, and asset delivery for all marketing projects and requests.
  • Increase efficiency and workflow automation through the project management software, Asana.
  • Champion the use of Asana and the marketing request form Company-wide.
  • Oversee all projects to ensure they are adhering to project timelines.
  • Document, monitor, and evaluate processes to ensure they are streamlined and efficient.
  • Collaborate as part of a team and be a strong team player who can manage multiple projects at once with the ability to pivot when needed.
  • Keep the team informed by involving them in brainstorming and daily workflows to maintain enthusiasm and alignment.
  • Lead project kick off meetings and set clear expectations in terms of project details, objectives, and deadlines.
  • Develop comprehensive project plans that include key dates for all copy and creative development, proofing, and production needs and expected timelines.
  • Exhibit proactive traits – plan ahead to allow the team time to work on campaigns and to avoid deadline issues from surfacing.
  • Stakeholder Management: align and communicate with cross-functional teams. Ensure project goals (e.g., timelines) are met.
  • Work with team members and departments to resolve any issues.
  • Research innovative industry related solutions and trends in project management and Asana.
  • Run the Marketing and Communications weekly team meeting and all recurring meetings with other departments, including pre-meeting agenda management and post-meeting follow-ups.
  • Manage the Marketing email inbox.
  • Contribute to the overall success of the Company by performing other duties as assigned.

Candidate Requirements:

  • Knowledge, Skills and Abilities (KSAs). To succeed in the Marketing Project Manager position, candidates should possess the following KSAs:
    • REQUIRED
      • Well-organized, detail-oriented multi-tasker who proactively manages his/her time while juggling multiple deadline-driven projects;
      • Impeccable attention to detail and accuracy;
      • Strong project management skills: organization, time management, strong ability to prioritize tasks, and understand and distribute project details to the appropriate team members;
      • Self-starter with the ability to translate meeting discussions into actionable takeaways and tasks;
      • Excellent verbal and written communication skills; and
      • Microsoft Office (Word, Excel, PowerPoint).
    • PREFERRED
      • In-depth experience with Asana or another project management software;
      • Accustomed to working with marketing campaigns, plans, and timelines;
      • Strong interpersonal and negotiation skills while exhibiting self-starting/proactive traits; and
      • Strong problem-solving skills with the ability to implement desired solution.
    • Background Experiences.The following are required unless otherwise noted:
      • Bachelor's degree (Marketing/Communications/English/Business Admin);
      • 3-5 years of project management experience;
      • PMP credential or similar project management certification;
    • Proven ability to prioritize work and meet established deadlines; and
    • Proven experience managing relationships and expectations and effectively problem solve; ability to analyze problems and produce a viable solution.

Position Type/Expected Hours of Work: This is a full-time, exempt hybrid position located in the Company’s West Chester office; the incumbent is expected to be present and accessible for at least 40 hours per week, subject to approved leave time, travel and other absences as described in the Employee Handbook or as otherwise agreed by the Company. The Company’s standard hours of operation are Monday through Friday, 8:15 a.m. to 5:00 p.m.
