Goldberg Segalla LLP, a national law firm with more than 23 offices in 11 states, seeks a highly motivated and organized individual to join its team as a Marketing Operations Specialist. This role serves as the primary point of intake for attorney marketing requests, manages workflows through the firm's ticketing system, and ensures projects move efficiently from request to completion. 

ESSENTIAL JOB FUNCTIONS: 

Intake & Attorney Support
  • Serve as the first point of contact for attorney marketing inquiries submitted through the firm’s ticketing system and email
  • Triage, clarify, and route requests appropriately based on scope, urgency, and practice group
  • Communicate clearly with attorneys regarding timelines, next steps, and deliverables
  • Deliver completed marketing projects to attorneys and ensure follow-up as needed

Workflow & Project Management
  • Enter, assign, and track marketing tasks in Asana, ensuring accuracy, completeness, and proper prioritization
  • Maintain visibility into team workloads and project status to support efficient scheduling and execution
  • Ensure work products are appropriately tagged and categorized by practice group, attorney, and initiative
  • Monitor deadlines and follow up proactively to keep projects moving forward

Operations & Systems Support
  • Help optimize and maintain marketing workflows, templates, and intake processes
  • Support attorney onboarding and offboarding by completing required marketing system updates and requests
  • Maintain organized digital files and documentation using SharePoint and other firm systems
  • Identify opportunities to improve efficiency, consistency, and communication across marketing operations

Collaboration & Quality Support
  • Work closely with the Marketing Manager and Director of Marketing to support team effectiveness
  • Enable the broader marketing team to focus on strategy, creative execution, and quality control by managing operational details
  • Contribute to a positive, responsive, and service-oriented culture within the department
  • Maintain a regular in-office presence to support team collaboration, attend scheduled meetings, and perform tasks that require on-site access, while effectively managing responsibilities in a hybrid work environment.
  • Other duties as assigned

QUALIFICATIONS
  • 3+ years of experience in a marketing operations, project coordination, or professional services support role
  • Bachelor’s degree; preferably in Marketing, Communications, Journalism, or a related field.
  • Demonstrated strength in workflow management, scheduling, and process execution
  • Proficiency with Asana or similar project management tools
  • Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint) and SharePoint
  • Excellent organizational skills with exceptional attention to detail
  • Strong written and verbal communication skills, with a professional and client-service mindset
  • Ability to manage multiple requests simultaneously in a fast-paced environment
  • Comfortable working with attorneys and senior stakeholders

REQUIRED SKILLS/ABILITIES & EXPERIENCE    
  • Regularly required to clearly communicate and exchange information in English
  • Strong organization and time management skills
  • Regularly required to observe and assess data and documents, in printed form and on computer screens
  • May be requested to work beyond normal work hours and weekends for special projects
  • Works well in a team environment
  • Ability to work independently within general guidelines and minimal supervision
  • Ability to recognize the need for confidentiality of information and to maintain such confidences
  • Ability to respond to internal or external inquiries, including those of a sensitive, confidential, or adversarial nature
The hourly salary range for this position is $22.00-$28.00 hourly. This position also offers bonuses and a full benefits package. Our benefits package includes, but is not limited to, health insurance, dental insurance, life insurance, a 401(k) plan, flexible spending, and more.
