Job Description
We are seeking a Marketing Administration Manager to join our dynamic team supporting the Massachusetts Port Authority's Marketing and Media Relations departments. The ideal candidate will have strong experience in budget administration, procurement, and vendor management and a proven ability to manage day-to-day departmental operations, ensure fiscal accuracy, and deliver timely reporting in collaboration with Finance.
Responsibilities:
- Develop, administer, and monitor annual operating budgets for the Chief Marketing Officer and Media Relations Director.
- Serve as liaison to Finance and Purchasing for invoicing, coding, requisitions, and funding on purchase orders and contracts.
- Prepare annual budget requests and submissions in accordance with established policies and procedures.
- Monitor expenditures, reconcile data, and identify and resolve budget discrepancies using PeopleSoft and FARS.
- Manage vendor contracts and billing; generate purchase requisitions in PeopleSoft ePro for SC&M team members.
- Prepare and submit 5-year and annual budget materials; track status of approved items.
- Coordinate Monthly and Quarterly Performance evaluations and present to managers and department heads; produce Year-in-Review reports.
- Coordinate monthly reclasses and accruals with Finance.
- Prepare the annual fiscal year Business Plan for Strategic Communications & Marketing and Media Relations.
- Prepare and coordinate sole source memos and departmental materials for RFPs.
- Oversee International Marketing Incentive agreements.
- Support general administrative tasks and events, including travel booking, meeting coordination, printing, and maintaining online files and invitation lists.
- Book photographers, caterers, and other event vendors; provide on-site event support as needed.
- Order event and art supplies, and maintain office and kitchen supplies inventory.
- Liaise with event vendors for branded and production items procurement.
- Serve as Authorized Signatory for SIDA Badge Management, including new badges, renewals, and temporary visitor passes.
- Coordinate staff parking placards and serve as Office Safety Captain, maintaining staff training and emergency procedures.
Daily Responsibilities:
- Meet with manager to review tasks for events, activations, and ongoing projects.
- Check with project manager on creative requests for branded items, signage, and promotional materials requiring Purchasing involvement.
- Process invoices and track expenses against budget accounts; submit requisitions and complete receiving transactions.
- Follow up on new vendor requests and application statuses.
- Monitor and replenish kitchen, office, and printing supplies; maintain accurate purchase and invoice records and FY27 budget files.
- Assist with vendor coordination and hiring for activations and event logistics.
Required Skills & Qualifications:
- Prior finance-related experience in budgeting, invoicing, and expense reconciliation.
- Proficiency with PeopleSoft, FARS, or comparable ERP and eProcurement systems.
- Vendor management experience, including contracts, billing, and procurement workflows.
- Strong organizational and analytical skills with attention to detail and accuracy.
- Effective communication and collaboration skills across Finance, Purchasing, and operational teams.
Preferred Skills:
- Public sector or quasi-public budgeting experience.
- Event operations support, including vendor sourcing and on-site coordination.
