Job Title: Manager of Volunteer Engagement

FLSA Status: Full-Time

Work Schedule: 40 hours per week (normally)

Department: Department (Dept #970)

Reports to: Director of Volunteer, Events, and Community Engagement

 

GENERAL PURPOSE OF JOB

Reports to the Director of Volunteer and Community Engagement, and is responsible for recruiting, screening, interviewing, training, and providing resources for all Silver Key volunteer supported programs. Ensure compliance with all volunteer assignments. The role will outline efforts related to volunteer recognition. Reinforce the Five Wishes initiative through volunteer orientation training and fully understand the roles they are supporting. Responsible for retention, support, and evaluation of volunteers throughout all programs. Act as the primary custodian of the volunteer files and ensure they are kept in compliance with local, state, and federal regulations and best practices. Enter data into the Volunteer Engagement information system.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensure the employee and volunteer filing systems are kept accurate, consistent, up to date, and in compliance with federal, state, and local regulations and using best practices
  • Manage the front desk volunteers and workflow
  • Enter and update volunteer data in the volunteer engagement information system
  • Assist in the recruitment and implementation for volunteers/college interns
  • Create and coordinate ongoing training opportunities for volunteers
  • Manage inquiries and records regarding volunteer opportunities in a timely manner
  • Execute volunteer interviewing and the screening process
  • Manage acceptance or rejection of prospective volunteers
  • Conduct background checks on potential volunteers
  • Volunteer engagement between volunteers and service areas
  • Plan and execute volunteer appreciation week, acknowledgement awards, and ongoing appreciation
  • Involvement with the volunteer orientation, recruitment, and stations at the annual expo
  • Ensure compliance with the AmeriCorps Seniors federal grant volunteer efforts
  • Generate and maintain monthly, quarterly, and annual service hour reports
  • Demonstrate the ability to handle highly confidential information in an appropriate manner
  • Ensure that volunteers are supported to achieve success with using volunteer software to track volunteer service hours
  • Other duties as required

 

SUPERVISORY RESPONSIBILITIES

  • Oversee the Front Desk Volunteers and the Volunteer Engagement Specialist/ Database Supervisor

 

VOLUNTEER ENGAGEMENT RESONSIBILITIES

This position does require a background check by Colorado Adult Protective Services (CAPS).

REQUIRED EDUCATION and/or EXPERIENCE

  • Bachelor's degree (B.A.) from four-year college or university; or two years related experience and/or training in volunteer management positions; or equivalent combination of education and experience
  • Excellent interpersonal skills and ability to relate to people from all walks of life. Proven track record of expanding organizational capacity through the utilization of volunteers. Understanding of the unique nature of the trusted volunteer relationship.

 

DESIRABLE, PREFERRED, OR SPECIAL QUALIFICATIONS

  • Program development and management experience, volunteer management, recruitment, excellent communication skills including public speaking and ability to produce professional written products, public relations, marketing experience, training development, and event planning. Step in on specific tasks for the Director as needed.
  • Advanced skills in Microsoft and Windows products, particularly Outlook, Teams, Excel, Word, and PowerPoint. Prior volunteer database experience is preferred.
  • Knowledge of and ability to implement quality improvement techniques preferred. Strong interpersonal skills to work with all roles within the organization and pertinent community partners. Demonstrate responsiveness and sensitivity to cultural differences. High level of integrity and dependability with strong sense of urgency. Results oriented. Problem solving, customer service, creative skills and ability to exercise sound judgment. Ability to communicate with all levels of staff in the organization.

 

TECHNOLOGY PROFICIENCY

This position requires good proficiency in the use of computer software and applications, office equipment, and professional telephone use. The ability to adequately type quicklywith few to no errors is also very important. This position will often require multi-tasking in the use of computers, phone, and office equipment while interacting with clients. Candidates for this position may be required to take and pass technology proficiency assessments prior to employment.

 

LANGUAGE SKILLS

Excellent interpersonal skills and ability to relate to people from all diverse backgrounds. Demonstrated strong verbal and written communication skills, analytical skills, statistical and mathematical abilities and interpersonal skills. Ability to read and interpret documents such as volunteer guidelines and procedure manuals. Ability to write complex reports and distill information for many audiences. Ability to speak effectively before groups of employees of the organization.Proficiency in non-English languages is highly valued.

 

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs.

 

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Strong organizational and communication skills, professionalism, and the ability to quickly adapt to change. Able to function well in a fast-paced, multi-faceted environment taking concepts and ideas from discussion through execution.

CERTIFICATES, LICENSES, REGISTRATIONS

Must possess and maintain a Colorado Driver's License for driving tasks

 

PHYSICAL DEMANDS

This position requires standing, walking and sitting for periods of time. Utilization of hands and fingers to operate office computer keyboard and equipment required. Must be able to reach with hands and arms, talk, hear and stoop, kneel or crouch if needed.
