Job Summary and Qualifications The Physician Office Scheduling Manager is responsible for the direct supervision of Scheduling Agents and Supervisors, answering incoming phone calls, scheduling patient appointments in the registration system, insurance verification, routing calls, communicating with the appropriate department or physician offices, and prioritization tasks. Manages daily operations including, but not limited to, eCW and Genesys maintenance, staff education and evaluation, customer service initiatives, call center equipment, process improvement, and development of departmental policy and procedures. Performs associated processes when necessary to ensure targets are met. Performs QA audits, tracks and trends performance and productivity by employee. Assumes responsibility for staffing, problem-solving, leading by example, and being actively present and available. Demonstrates knowledge of the scheduling process and systems used within the process. Maintain and recommend sufficient number of qualified/competent staff to provide department services.Maintain, assess & improve department's performance. Coordinate and maintain scheduling functions in Genesys and CSO Workforce Management. Enforces compliance with personnel policies, incorporating counseling and administrative actions as necessary. Makes independent decisions/ judgment call in the absence of established policies, routines or regulations. Provides strong leadership to staff by serving as a professional role model. Assists with orientation of new employees as needed and serves as a resource within the department Displays confidence when processing difficult or interdepartmental requests Recognized by customers as knowledgeable and helpful Ensuring that department service is delivered in a safe, competent, and efficient manner as determined by outcomes, quality monitors, and other internal and external processes. Conduct and interpersonal relationships contribute positively to the delivery of quality care and services, and to orderly operation of the department RequirementsAssociate's Degree required. Bachelor's Degree in business or related field preferred. Equivalent work experience may substitute education requirements. Minimum 2 years supervisor or management level experience in a healthcare environment, 3+ years preferred.
