As a member of the Office of Medical Education within the Covenant HealthCare College of Medicine at Central Michigan University, the manager of distributed clinical education is primarily responsible for the day-to-day operations of the clinical education department. This includes student scheduling, health system onboarding, and faculty and student support across all regional campuses and inpatient clinical sites. This position serves as the primary contact for information regarding the inpatient clerkships across all campuses and sites, makes recommendations on initiatives, and implements policies and procedures related to the clinical years of training in conjunction with the associate dean for clinical education. This position also supervises a team of clerkship coordinators and program assistants employed by the university as well as campus coordinators employed by partner hospitals. This position requires excellent organizational, analytical, project management and problem-solving skills to deal effectively with complex tasks and issues. Inherent in this position is a high degree of autonomy and independent decision-making in order to develop and maintain course and program information, including compliance with LCME requirements. This position is also responsible for regular staff supervision/management, preceptor recruitment, and overseeing the dissemination of information as required to staff, faculty, and students.

Required Qualifications

Bachelor's degree in education, healthcare, or a related field or a combination of education and experience that equates to four years.

Two years of progressively responsible experience in education, healthcare, or a related field.

Demonstrated experience with personnel management in a complex ever changing environment.

Demonstrated ability to work effectively in a complex environment.

Demonstrated ability to direct complex projects and work with an interdisciplinary team by providing logistical direction and insight.

Demonstrated ability to conduct basic analyses in one or more educational software packages.

Demonstrated ability to work independently, problem solve, and develop creative solutions to challenges.

Excellent interpersonal, written, and oral communication and client service skills.

Working knowledge of Microsoft Office 365, Adobe Acrobat, email, and internet applications.

Proficient in the use of Excel to create and manage a variety of academic and curricular databases.

Excellent organizational, analytical, problem-solving, and time management skills to effectively deal with complex tasks and issues.

Ability to travel to regional campuses on a regular basis.

Ability to interact with faculty, students, colleagues, external stakeholders, and the general public in a professional and friendly manner.

Preferred Qualifications

Master's degree in education or a related field.

Experience in health professions education.

Experience with learning/curriculum management IT systems.

Experience advising students.

Duties & Responsibilities

Engages in direct supervision of the clerkship coordinators and program staff employed with both CMU and CMU Medical Education Partners (CMEP).

Engages in indirect supervision of campus coordinators (currently Ascension, MidMichigan, Spectrum, and other healthcare partners).

Designs and implements workflow processes for the clinical education team, including clerkship track and elective scheduling, campus and track lotteries, clerkship rescheduling, exam remediation, medical student site credentialing, and student evaluation compliance and reporting.

Serves as primary administrative contact for all inpatient clerkship sites.

Provides administrative oversight for years 3-4 monthly committee meetings.

Manages day-to-day operations of the department, including clerkship scheduling, online course catalog updates, updated test dates, faculty and student support, compliance, and communication of information as required to staff, faculty and students.

Delegates work as appropriate to clerkship and campus coordinators.

Arranges ADA testing accommodations in accordance with current laws as requested.

Provides primary backup to the associate dean of clinical education and aides CMED faculty in establishing and maintaining relationships with community physicians throughout the distributed educational network (state-wide) who are involved in student education.

Travels to current regional campuses on a regular basis as requested.

Produces and maintains evaluation reports related to the functions of the Office of Medical Education, including rotation reports, student log reports, and faculty utilization summaries.

Collaborates with the assessment and programmatic evaluation coordinators on the student assessment and program evaluation system related to clerkships.

Consults with other members of the Office of Medical Education to guide clerkship directors in using data to improve the quality of inpatient clerkships.

Provides registration data for M3 and M4 medical students to the CMED Registrar.

Works with the director of academic affairs and the clerkship directors to develops and implement workflows for the longitudinal assessments of students. Supervises the clerkship coordinators in the planning and scheduling of clerkship didactics, assessments, evaluations, and reports.

Liaises and consults with Graduate Medical Education departments regarding learner scheduling at clinical campuses.

Works with the CMED registrar on developing and instituting visiting elective processes.

Performs additional duties as assigned.
