Manager, Administrative Services

MONELL CHEMICAL SENSES CENTER

The Manager, Administrative Services, plays a vital role at the Monell Chemical Senses Center by ensuring the smooth and efficient operation of the Executive Office. This position involves managing and coordinating the activities of the Executive Office while supervising two Administrative Assistants. The successful candidate will demonstrate strong organizational, communication, and leadership skills to support the Executive Director and other senior leaders.

Essential Responsibilities:

Leadership and Supervision:

• Supervise and mentor two administrative assistants, providing guidance, training, and support to enhance their professional development and ensure high-quality performance.

• Coordinate and delegate tasks and responsibilities to ensure the efficient operation of the Executive Office.

Executive Support:

• Provide comprehensive support to the Executive Director, including managing calendars, scheduling meetings, and handling correspondence.

• Assist in preparing reports, presentations, and other documents for the Executive Director and senior leadership team.

Office Management:

• Oversee the day-to-day operations of the Executive Office, ensuring an organized and productive environment.

• Manage office supplies, equipment, and resources to support the needs of the Executive Office.

Communication and Coordination:

• Serve as a liaison between the Executive Office and internal and external stakeholders, ensuring clear and effective communication.

• Coordinate meetings, conferences, and events, including logistics, agendas, and materials preparation.

Project Management:

• Assist in the planning and execution of special projects and initiatives led by the Executive Office.

• Monitor project timelines, track progress, and ensure deliverables are met.

Confidentiality and Discretion:

• Handle sensitive and confidential information with the utmost discretion and professionalism.

Qualifications

Minimum Requirements and Qualifications:

  • Bachelor's degree in business administration, management, or a related field.
  • Proven experience in an executive support role, preferably with experience supervising administrative staff.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High level of professionalism and attention to detail.
  • Minimum of 3 days/week on-site expected.


• Some flexibility in work schedule, with evening and early morning hours occasionally required.
