Overview:

Berkshire Hathaway HomeServices PenFed Realty (PenFed Realty), a wholly owned subsidiary of PenFed Credit Union (PenFed), is hiring a (Hybrid) Maintenance Coordinator, Property Management at our Richmond, Virginia office. The primary purpose of this job is to respond to and execute all requests for maintenance in PFR Property Management, as well as resolve associated maintenance issues.

Maintenance Coordination & Work Order Management

  • Manage and oversee all maintenance requests through the AppFolio property management platform
  • Assign, track, and follow up on work orders to ensure timely completion and tenant satisfaction.
  • Coordinate with vendors, contractors, and maintenance personnel regarding repairs, scheduling, and project completion.
  • Obtain repair estimates and approvals in accordance with owner authorization limits.
  • Monitor vendor performance, pricing, licensing, insurance compliance, and work quality.
  • Communicate repair updates clearly and professionally with tenants and property owners.
  • Handle emergency maintenance situations promptly and efficiently.

Property Inspections

  • Conduct periodic occupied property inspections to ensure lease compliance and property condition.
  • Perform move-in and move-out inspections with detailed documentation and photographs.
  • Prepare inspection reports and coordinate necessary repairs or turnover items.
  • Identify preventative maintenance needs and recommend corrective actions.

Leasing & Property Showings

  • Show rental properties to prospective tenants.
  • Coordinate leasing-related maintenance and readiness for available properties.
  • Assist in ensuring properties are market-ready for new tenants.
  • Support leasing operations by communicating with prospective tenants and scheduling showings.

Owner, Tenant & Vendor Relations

  • Maintain professional and responsive communication with property owners, tenants, and vendors.
  • Provide exceptional customer service while resolving maintenance concerns and operational issues.
  • Build and maintain strong vendor relationships to ensure reliable service and competitive pricing.
  • Educate owners regarding maintenance recommendations, property preservation, and market expectations.
Qualifications:

Equivalent combination of education and experience is considered.

  • Active Virginia Real Estate License required.

  • Previous property management experience required.

  • Experience using AppFolio or similar property management software strongly preferred.

  • Strong knowledge of residential property maintenance processes and vendor coordination.

  • Excellent verbal and written communication skills.

  • Strong organizational and multitasking abilities.

  • Ability to prioritize tasks and work independently in a fast-paced environment.

  • Professional demeanor and strong customer service skills.

  • Proficiency with Microsoft Office, email communication, and property management technology platforms.

  • Valid driver’s license and reliable transportation required.

  • Experience using A.I. tools preferred.

Preferred Skills

  • Knowledge of Virginia landlord-tenant laws and property management regulations.

  • Experience with leasing and tenant relations.

  • Ability to analyze maintenance costs and recommend cost-effective solutions.

  • Sales or business development experience within real estate or property management preferred.

Supervisory Responsibility

This position will not supervise employees.

 

Licenses and Certifications

There are no additional certifications required.

 

Work Environment

While performing the duties of this job, the employee is regularly exposed to an indoor office setting with moderate noise.

Travel

Limited travel to various worksites is required.
