Mailroom & Copy Center Specialist
Contract Duration: 3-Month Contract
Mount Laurel, NJ (Onsite)
M-F (8:00 AM - 5:00 PM)

Overview

Provide operational support within a legal office services environment, including mailroom, copy center, scanning, fax, shipping/receiving, records management, and document production functions. This role requires handling highly confidential and time-sensitive legal documents while delivering excellent customer service and maintaining quality standards in a fast-paced setting.

Responsibilities

  • Process, sort, distribute, and handle incoming/outgoing mail, faxes, shipments, and deliveries; apply postage as needed.
  • Operate high-volume copy, print, scanning, mail processing, and document production equipment.
  • Perform document scanning, OCR processing, file conversion, file naming, formatting, printing, quality control, and final document checks.
  • Complete binding, finishing, hole punching, cutting, stapling, jogging, filing, archiving, and records management tasks.
  • Maintain, inspect, troubleshoot, and coordinate service for copiers, printers, postage machines, and related office equipment.
  • Maintain service logs, meter readings, billing records, inventory records, and supply levels.
  • Distribute office supplies, mail, and completed projects to designated locations.
  • Respond to customer inquiries regarding project status, service requests, and job feasibility.
  • Support legal secretaries, paralegals, project managers, associates, partners, and other office personnel.
  • Assist with off-site project coordination and document management workflows.
  • Ensure accuracy, confidentiality, and timely completion of high-priority projects under tight deadlines.
  • Perform shipping/receiving duties, including verifying packing slips and selecting appropriate packing materials.
  • Perform additional office services duties as assigned.

Requirements

  • High school diploma, GED, or equivalent work experience.
  • Completion of required legal office services training within designated timeframes.
  • Copy/print production experience required.
  • Minimum 1 year of legal industry experience strongly preferred.
  • Proficiency with Microsoft Office Suite, email systems, and basic computer applications.
  • Experience operating high-volume copiers, printers, scanners, fax machines, postage equipment, and related office technology.
  • Knowledge of document scanning, OCR, file conversion, electronic document management, and workflow processes.
  • Understanding of shipping/receiving procedures and mail distribution processes.
  • Strong customer service, interpersonal, verbal communication, and organizational skills.
  • Ability to troubleshoot equipment issues and read technical instructions or manuals.
  • Ability to work independently, prioritize tasks, and adapt to changing workloads.
  • Strong attention to detail and commitment to quality when handling sensitive and confidential legal documents.
  • Ability to lift up to 50 pounds and stand or walk for extended periods throughout the workday.
