Overview:
Provide daily operation support for the Copy and Mail Center by producing, assembling, and distributing printed materials and managing incoming and outgoing mail and packages. This position ensures all copy, print, binding, and mail services are completed accurately, securely, and on time while maintaining a high level of customer service.
Responsibilities:
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Operate copiers, printers and finishing equipment to produce documents according to customer requests.
- Assemble and prepare printed materials, including:
- Creating, labeling, and inserting tabs for notebooks
- Binding documents
- Collating, stapling, folding, and trimming materials
- Receive, sort, and distribute incoming mail and packages using dollies and carts as needed.
- Prepare outgoing mail, including weighing, labeling, and applying appropriate postage.
- Process certified mail, overnight deliveries, and courier shipments.
- Coordinate with shipping carriers (USPS, UPS, FedEx, etc.) for pickups and deliveries.
- Maintain accurate internal mail delivery slots.
- Support other administrative or facilities-related tasks as assigned.
- Communicate job status, completion timelines, or delivery issues to customers and supervisors.
- Maintain a clean, organized, and safe work area in mail/copy center.
Qualifications:
EDUCATION:
- High school diploma required, and some college preferred
EXPERIENCE / SPECIFIC KNOWLEDGE:
- Previous experience in a copy center for a minimum of 3 years
- Previous experience in a mail center for a minimum of 1 year
COMPETENCIES, SKILLS, AND ABILITIES:
- Working knowledge of Microsoft applications (including but not limited to Word, Excel, Outlook, and PowerPoint) for document production, tracking, and information retrieval.
- Excellent verbal, written and interpersonal communication skills and strong customer service skills.
- Ability to maintain confidentiality and handle sensitive materials responsibly.
- Excellent communication and courteous customer service skills.
- Strong attention to detail and accuracy in all work performed.
- Ability to communicate clearly in person and by telephone, demonstrating effective listening skills.
- Reliable attendance and consistent high level of performance.
- Commitment to workplace safety, including the protection of company assets, employees, and the general public.
- Ability to write routine reports and correspondence.
- Ability to work effectively as part of a team, follow instructions, adhere to established procedures, and maintain assigned work schedules.

- Ability to stand or walk for extended periods.
- Ability to lift, carry, and move boxes of paper and packages weighing up to 40 lbs.
- Manual dexterity required to operate printing, binding, and postage equipment.
- Job level commensurate with experience and skill set.
- Successful completion of a drug screening and a comprehensive background check, including credit history, is required after a conditional offer of employment.
- Progressively responsible mail / copy center responsibilities are highly desirable.
