Position Title: Logistics Clerk

Reports to: Logistics Manager

Summary/Objective:

The Logistics Clerk helps prepare and handle shipping paperwork, track incoming and outgoing shipments, and keep logisticsdashboards up to date to support projects and daily operations. This role works closely with Cool Runnings vendors, carriers, project teams, internal departments, and the Logistics Manager to make sure materials and equipment are delivered correctly, on time, and well documented-while keeping costsin check.

This role manages the preparation, verification, and organization of shipping and customs documentation to ensure accuracy, compliance, and on-time delivery. It coordinates with carriers, freight forwarders, customers, and internal teams to track shipments, resolve issues, and address discrepancies or delays. The position also supports process improvements, freight cost monitoring, and the maintenance of product and shipping records.

This position is responsible for fostering a collaborative and cooperative environment with team members and other departments to provide the highest quality service standards. A critical component of the job is to actively communicate accurate information in all aspects. The Logistics Clerk is responsible for professionally representing Cool Runnings International (CRI) and Cool Runnings North America (CRNA) through consistent, accurate, and informative communication with customers, employees, and contracted laborers.

Responsibilities:

  • Prepare, review, and process shipping documents including bills of lading, commercial invoices, packing lists, and various customs documentation as needed
  • Verify drop shipment contents against orders, invoices, and packing lists
  • Ensure accuracy and completeness of all documentation to meet carrier and customer requirements
  • Coordinate with freight forwarders, carriers, customers, and internal teams to resolve documentation issues
  • Track shipments and provide documentation support to ensure on time delivery
  • Maintain organized electronic and physical records of documentation in one drive project folders
  • Identify and correct discrepancies, delays, or errors in shipping documents
  • Assist in process improvement initiatives to increase efficiency and reduce errors
  • Adhere to completion due dates and documentation cutoffs and meet milestones, and deadlines
  • Assists with organizing and maintaining product information data sheets for all SKUs within Sage Intacct
  • Monitor freight costs and assist with freight quote comparisons
  • Assist with expediting critical or time-sensitive shipments with our forwarders or parcel providers
  • Resolve basic shipping or delivery issues and escalate problems when needed
  • Professionally managing phone calls, emails, and correspondence
  • Foster an open, positive environment of communication and teamwork within CRI to proactively resolve issues and successfully execute responsibilities.
  • Maintain consistent and effective communication with internal and external customers to ensure timely documentation, coordination, and follow-through.
  • Maintain relationships through proactive, positive communication and by recognizing and delivering on company expectations.
  • Demonstrate flexibility and willingness to learn new methods and skills in response to changing priorities.
  • Ensure documents are accurate, up to date, and properly uploaded to the CRI online storage system.

Requirements:
• Experience and proficient with computer systems and data entry, including proficiency in Microsoft Excel, Word, Outlook, and Internet
• High School Diploma or equivalent
• Knowledge of the construction and refrigeration industries a plus
• Excellent written and oral communication skills
• Ability to work with minimal supervision, prioritize tasks efficiently, and manage workflow effectively in a team-oriented, collaborative environment
• Able to be persuasive, encouraging, and motivating
• Willing to work during day, and occasional evenings, and weekends
• Valid driver's license with good driving record
• Physically able to climb ladders and to lift objects up to twenty-five+ pounds
