TITLE: Administrative Assistant

REPORT TO: Teaching Principal

STATUS: Part-time, non-exempt

SUMMARY: The Part-Time Administrative Assistant provides administrative, clerical, communication, and operational support to the Teaching Principal. This position plays a key role in the daily operation of the school by assisting with parent and student communication, attendance and records management, substitute coordination, event support, classroom supply management, and general office functions. As a primary point of contact for students, parents, staff, and visitors, the Administrative Assistant is expected to maintain professionalism, confidentiality, organization, and a welcoming office environment while supporting the mission and values of the school.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Provide administrative and clerical support to the Teaching Principal and school staff to ensure efficient daily operations.
  • Answer phones, greet visitors, and serve as a friendly and professional point of contact for students, parents, staff, and community members.
  • Assist with student attendance, late arrivals, early dismissals, visitor management, and office safety procedures.
  • Maintain accurate student, parent, and emergency contact records.
  • Facilitate communication between parents, students, faculty, and administration through email, phone, text, and school communication platforms.
  • Support the use of school information and communication systems, including student information, learning management, and mass communication platforms.
  • Coordinate substitute teacher coverage, prepare substitute materials, process substitute records, and maintain teacher attendance records.
  • Assist with scheduling meetings, appointments, school events, and administrative calendars.
  • Organize, distribute, and maintain school forms, records, and documentation.
  • Coordinate classroom and office supply ordering, inventory, and distribution.
  • Create and distribute school communications, flyers, programs, newsletters, and event materials.
  • Support school events, field trips, parent conferences, graduation programs, and other school activities as needed.
  • Assist with volunteer coordination and clearance processes in accordance with school policies.
  • Maintain office equipment and coordinate service requests when needed.
  • Perform additional duties as assigned to support the needs of the school community.
JOB SPECIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, ability required, physical demands and work environment.

Education and/or Experience
  • High school diploma required; associate or bachelor's degree preferred.
  • Two or more years of administrative, clerical, or office support experience preferred.
  • Proficiency with Microsoft Office, Google Workspace, email systems, and common office technology.
  • Experience with school information systems and communication platforms is preferred.


Language Skills

Ability to read and interpret documents and procedure manuals. Ability to create routine reports and correspondence. Ability to communicate effectively with parents, employees, and school administration.

Reasoning Ability

Excellent judgment and creative problem-solving skills with the ability to make decisions in a changing environment and anticipate future needs. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Must have the ability to lift 30 pounds.
