Primary Purpose of the Organizational Unit

The University Libraries advance and support learning, research, and service at the University of North Carolina at Greensboro and throughout the state of North Carolina. The University Library Facilities Team housed under the Library Administration Department connects resources to the needs of University Library departments in relation to library collections, spaces, and technologies. The Facilities Team provides support to upkeep collections for all library departments including special collections and archives and the Harold Schiffman Music Library, upkeep and enhancement of library spaces across multiple university buildings and leads all large-scale library projects with library staff, outside campus units, and external vendors. This assortment of services is provided for UNCG students, faculty, staff, and community patrons to ensure optimal operations during all hours the library is open (98.5 hours per week). The department consists of 3 full time employees and multiple temporary staff members to support library administrative functions, operations, and the ongoing library renovation set to be completed in 2028.

Position Summary

The Library Program Coordinator exercises an elevated level of assessing, planning, and administering library operation program elements to coordinate and execute organizational facility needs and objectives. This position is the contact point for library space creation in the organization space management system, primary knowledge expert for review and report generation in the library user tracking system, and knowledgeable of all library facility related work orders. It provides feedback both to physical and system related space questions, offers guidance to the Facilities team for temporary staff members, and serves as a backup to the Facilities Coordination Manager in their absence. In addition, this position includes assessing and refining library policies and procedures regarding library spaces. The desired hours for this position are Sunday through Thursday between 8 a.m. - 7 p.m.

Minimum Qualifications

  • Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.

Program Coordination

Essential Tasks

  • Analyzes library spaces and develops reservable spaces in the library space management system (Springshare - Lib Cal). Ensures space details and characteristics are accurately listed for end user requests.
  • Maintains an accurate count of all reservable library spaces on an ongoing basis. Holds the ability to assess and create space counts from scratch in relation to the library renovation prioritizing the organization of spaces and accurately differentiating between study, event, and meeting environments when needed.
  • Collaborates with the Facilities Coordination Manager to ensure reservable spaces are evaluated multiple times per year annually in alignment with the management and replacement cycles established for library furniture and accessories used throughout the building.
  • Ensures all spaces developed in Springshare Lib Cal accurately connect to availability in alignment with library hours of operations. Collaborates with library leadership on a semester by semester basis to track hours changes based on holidays, breaks, and inclement weather events as needed.
  • Serve as the primary point of contact for the library user tracking software (Sensource) to answer questions regarding intergration, data, and software/hardware support.
  • Produce data in relation user traffic and space reservations when called upon for the Facilities Coordination Manager and Library Leadership to support operation functions and external campus support conversations.

Space Management

Essential Tasks

  • Inspect the building daily for security, safety, housekeeping, and maintenance issues. Consults with the Facilities Coordination Manager and library leadership concerning decision making about building issues, furniture needs, and potential security and safety risks.
  • Reviews feedback regarding the library spaces and furniture to ensure maintenance takes place when need and functionality is maximized. Keeps an accurate count of seating and room availability for library wide statistics and space creation in reservation software.
  • Assesses library space and furniture condition to make recommendations for replacement and maintenance activity. Gains approval from library leadership for furniture and equipment relocation to optimize library allotted spaces. Performs repairs when capable as needed.
  • Provides support and working knowledge for library events programmed by faculty and staff within the library. Ensure library space management systems are functioning to always optimize the scheduling of library programming.
  • Initiates efforts with various library personnel to keep library image up to date with current branding. Develops and/or collaborates with library staff to design signage in relation to library spaces ensuring trends and most relevant information is considered based on observation. Works with the library leadership to order and install signage materials on an ongoing basis to prevent outdated information from existing.
  • Manages emergency and disorderly conduct situations according to library policies and procedures in the absence of library leadership.

Administrative Support

Essential Tasks

  • Checks the libfaci email system daily to review and process reports of facility issues sent by library employees. Makes reports to Facilities Operations and monitors status engaging with the Facilities Coordination Manager when necessary to ensure completion and/or secure funding approval for work if necessary.
  • Analyze the use of library building supplies including whiteboards, storage items, furniture accessories, and room finishes. Recommend changes and identify opportunities to enhance library spatial environments through research, building observation, and user interactions which can include targeted assessment through collaboration with library leadership.
  • Serve as the primary point of contact in the absence of the Library Facilities Coordination Manager. Work to build relationships with external campus units that support library operation functions to ensure requests are understood and completed as intended if needed.
  • Supervises the work of temporary staff and/or student workers in relation to library Facility Team projects as needed.

Library Resource Management

Essential Tasks

  • Manages library campus bookdrop units and charging station units to ensure usability for multiple organization needs. Performs and coordinates repairs with Facilities Operations as needed.
  • Oversees the use of library space released for reservation to UNCG students, faculty members, and other campus departments in Springshare software. Serves as a point of contact regarding questions in relation to library reservable spaces. Consults with the Library Facilities Coordination Manager to resolve user issues and ensure needs are met, and trends are identified.
  • Establishes effective and efficient policies and procedures regarding the use of library spaces and ensures library resources, i.e: booktrucks, charging stations, event furniture, and storage space remain flexible and available for library user needs.
