POSITION DESCRIPTION

Livonia Public Schools is seeking a highly qualified Secretary to the Principal of Churchill High School. The secretary is responsible for a variety of duties in support of the principal and the school community. The secretary's assignments may include correspondence, production of in-house programs & handouts, biweekly payroll, notices, announcements, parent reminders, assisting with the maintenance of the school website & calendar, maintaining student, staff, and building files, and assisting in the coordination of school events.

DISTRICT OVERVIEW:

Livonia Public Schools employs approximately 1,800 staff members, serving approximately 13,100 students pre-K post secondary. There are 15 elementary schools, 3 middle schools, 3 high schools, 1 career technical center, 1 early childhood center, and 1 vocational and transition center in the school district. The annual budget for Livonia Public Schools is $185 million, with a state funding of $10,050 per pupil.

MINIMUM QUALIFICATIONS:

  • Applicants must have at least a high school diploma or GED, Associate's degree or Bachelor's degree preferred
  • It is preferred that applicants have at least five years of experience as an administrative assistant or secretary
  • A passionate commitment to working with employees
  • Demonstrated positive interpersonal relationships
  • Evidence of ability to establish positive working relationships with all stakeholders
  • Superior verbal and written communication skills
  • Possess a high level of professionalism and confidentiality
  • Strong computer skills with proficiency in PC-based Microsoft applications, Google Docs, FileMaker Pro, and Adobe.

MAJOR FUNCTIONS AND RESPONSIBILITIES:

  • Assists the principal in general administrative operations within the school
  • Performs internal and external office communication: email, voicemail and miscellaneous written correspondence
  • Organizes and maintains the school filing system; ensures accuracy and completeness of confidential files and employee records; and files and retrieves documents
  • Processes bi-weekly payroll
  • Reviews for accuracy and process various forms (field trips, conferences, etc.)
  • Assists with the coordination, distribution, and collection of beginning and end of year documents from students and staff
  • Reserves, creates, and tracks school related substitutes
  • Prepares documents and publications for school events
  • Assists with the maintenance and accuracy of the school website and calendar
  • Creates and edits correspondence from the principal
  • Performs other functions as assigned by the administrator

The ability and desire to accept responsibility are essential in this position. Because of the nature of the work, a spirit of cooperation with all others in the office is essential. The ability to be flexible and a team player are important in this position.

CONDITION OF EMPLOYMENT

Specific details involved in the position will be discussed with the administrator during the interview and at the time of hiring for the position.

Salary and benefits will be in accordance with the terms and conditions of the Agreement between the Livonia Public Schools School District and the Livonia Secretarial Association, Michigan Education Association.
