LHH is partnering with a multi-office law firm to hire an Administrative Supervisor for its Jacksonville office. This position oversees daily office operations and billing processes, ensuring efficiency, accuracy, and compliance with firm procedures.

The Administrative Supervisor will support office leadership, coordinate staff, and serve as a key liaison between the Jacksonville office and firm management.

Responsibilities

  • Distribute prebills for attorney review and ensure timely submission of finalized invoices

  • Monitor billing workflows and follow up to meet deadlines

  • Partner with Finance on billing inquiries, revisions, and client-related matters

  • Process invoices, reimbursements, and vendor payments within approval guidelines

  • Assist with monitoring and managing local office expenses

  • Coordinate staff schedules, timekeeping, and PTO requests

  • Support onboarding and training of new hires in partnership with HR

  • Foster a professional, collaborative, and inclusive office culture

  • Oversee daily office operations to ensure efficiency and organization

  • Manage office supplies, equipment, and vendor relationships

  • Coordinate office maintenance and liaise with Facilities as needed

Administration & Coordination

  • Serve as the primary liaison between attorneys, staff, and firm leadership

  • Coordinate meetings, events, and conference room usage

  • Maintain organized physical and electronic records in compliance with firm procedures

  • Support internal communications and office-wide updates

Qualifications

  • 5+ years of office management or administrative leadership experience, ideally within a law firm or professional services environment

  • Prior law firm billing experience required, including familiarity with time entry, prebills, and billing cycles

  • Strong understanding of legal billing processes and financial workflows

  • Experience working closely with attorneys and finance teams in a professional services setting

  • Proven leadership and interpersonal skills with the ability to manage and support staff effectively

  • Excellent organizational, communication, and problem-solving abilities

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment

  • Proficiency in Microsoft Office Suite and general office systems

  • Experience coordinating with IT, facilities, and HR functions

  • Understanding of compliance standards, office policies, and data security best practices

  • Ability to troubleshoot basic technology issues and escalate as needed
