Key Responsibilities
Leasing Performance & Application Conversion
- Act as a key driver in converting approved applicants into executed leases.
- Review and process rental applications quickly and accurately to maintain leasing momentum.
- Identify qualified applicants and move them efficiently through the approval pipeline.
- Partner with leasing teams to reduce application delays and prevent deal fallout.
- Support occupancy goals by ensuring strong, qualified applicants are approved and onboarded promptly.
Application Review & Compliance
- Verify applicant documentation including income, employment, rental history, background checks, and credit reports.
- Evaluate applications based on company screening criteria while maintaining consistency and fairness.
- Approve or decline applications in accordance with company policies and compliance standards.
- Ensure all decisions are well-documented and aligned with Fair Housing regulations.
- Identify and escalate complex or high-risk applications when necessary.
Leasing & Move-In Coordination
- Guide prospects through the application and approval process, clearly explaining requirements and timelines.
- Ensure all fees, deposits, and required documentation are collected prior to lease execution.
- Coordinate with leasing staff and property managers to prepare applicants for move-in.
- Confirm all compliance requirements are met before final lease approval.
- Help create a smooth, professional experience that increases resident satisfaction from day one.
Applicant & Resident Communication
- Communicate promptly and professionally with applicants to keep deals moving forward.
- Follow up on missing documentation to prevent delays or lost leases.
- Provide clear updates on application status and next steps.
- Support leasing teams in maintaining a strong prospect-to-resident conversion experience.
Administrative & Recordkeeping
- Maintain accurate, organized, and audit-ready applicant and resident files.
- Track application progress and turnaround times to support leasing efficiency.
- Ensure all documentation is properly stored within the property management system.
- Assist with reporting and data tracking related to leasing performance and compliance.
Collaboration
- Work closely with leasing teams to support occupancy and revenue goals.
- Partner with property managers to ensure alignment on applicant approvals.
- Act as a bridge between compliance requirements and leasing objectives.
- Escalate issues proactively to avoid delays in the leasing process.
Qualifications
- 1–2 years of experience in leasing, property management, or application processing preferred.
- Strong understanding of rental applications, tenant screening, and leasing workflows.
- Basic knowledge of Fair Housing regulations and compliance standards.
- Sales-oriented mindset with the ability to move prospects through the leasing funnel.
- Strong attention to detail and ability to evaluate documentation accurately.
- Excellent communication and follow-up skills.
- Strong organizational and time management abilities.
- Ability to work both independently and collaboratively.
Technical Skills
- Experience with property management software (Yardi preferred).
- Proficiency in Microsoft Office and general computer systems.
- Ability to manage multiple applications and deadlines in a fast-paced environment.
Education
- High school diploma or equivalent required.
- Additional coursework in business, real estate, or property management is a plus.
