ROLE AND PURPOSE:

Support the coordination, validation, and submission of Public Education Information Management System (PEIMS) and Texas Student Data System (TSDS) data in compliance with Texas Education Agency (TEA) requirements, while taking a lead role in the preparation, validation, and submission of assigned Core Collections. Ensure data integrity, accuracy, and timely submission of all state and federal reports while providing training and technical support to campuses and district departments.

QUALIFICATIONS:

Education/Certification:

  • High School Diploma/GED from an accredited institution, required.
  • Bachelor's Degree (preferred) in Information Systems, Business, Education, or related field
  • TASBO Certification (preferred)

Experience:

  • Minimum of Five (5) years successful K-12 school district experience
  • Minimum of Three (3) years (preferred) direct district level experience with PEIMS/TSDS submissions and student information systems
  • Experience in student accounting, data validation, and reporting processes preferred

SPECIAL KNOWLEDGE/SKILLS:

  • Extensive knowledge of TEA PEIMS guidelines, TSDS, and Texas Education Data Standards (TEDS
  • Strong understanding of the Student Attendance Accounting Handbook (SAAH)
  • Ability to analyze, audit, and validate large datasets for accuracy and compliance
  • Proficiency in student information systems, spreadsheets, databases, and reporting tools
  • Strong organizational, problem-solving, and time management skills
  • Effective communication and collaboration skills across departments
  • In-depth understanding of computer and networking standards, practices, data security, and applications
  • Able to perform well under stress, manage multiple priorities, and self-manage commitments and deadlines effectively

RESPONSIBILITIES AND DUTIES:

I. MAJOR RESPONSIBLITIES AND DUTIES:

  • Collect, prepare, format, and validate data for PEIMS submissions in accordance with Texas Education Data Standards (TEDS)
  • Ensure all PEIMS submissions meet TEA deadlines and compliance requirements
  • Assist the PEIMS Manager in coordinating and overseeing the full lifecycle of PEIMS collections
  • Monitor, analyze, and resolve fatal errors, warnings, and data discrepancies related to Core Collections
  • Conduct internal audits to ensure campus and district data compliance with TEA and Student Attendance Accounting Handbook (SAAH) requirements
  • Review enrollment, leaver, and program data for accuracy and completeness
  • Support reconciliation processes to ensure accuracy of PEIMS submissions
  • Maintain and monitor TSDS Unique ID (UID) and Person Identification Database (PID) processes; ensure compliance with TEA standards and provide related training
  • Support Student Information System (SIS) processes, including system uploads, data integrations, and validation tools for PEIMS reporting
  • Monitor and manage help desk tickets related to PEIMS and data issues, ensuring timely and accurate resolution
  • Provide guidance and technical support to campuses and departments regarding PEIMS requirements and data corrections
  • Maintain organized documentation and records related to PEIMS submissions and processes
  • Provide support for campus data clerks, including providing technical assistance in matters related to enrollment and withdrawal, and assume limited supervisory functions in working as the District liaison with data clerks

II. ADDITIONAL DUTIES

  • Serve as a liaison between campuses, departments, and the PEIMS office to ensure clear communication and timely issue resolution
  • Support internal and external data requests and assist in analyzing data to identify trends, discrepancies, and opportunities for process improvement
  • Ensure compliance with federal and state laws, TEA guidelines, and district policies, including maintaining confidentiality in accordance with FERPA
  • Collaborate with the PEIMS Manager to improve processes, workflows, and overall data quality; assist in developing procedures and best practices
  • Provide backup support for Attendance Specialist, Transfer Specialist, and PEIMS Manager
  • Assist in developing training materials, user guides, and reference documentation
  • Assist in delivering training on PEIMS processes, TSDS collections, and data standards
  • Perform other duties as may be assigned by PEIMS Manager
