Summary of Purpose
Under the direction of the Executive Director of Health Professions and Dean of Nursing, the Lead Operations Administrator provides leadership for the operational planning, coordination, and execution of administrative functions within the Division of Nursing and Health Professions. This role supports division-wide initiatives by coordinating operational components related to program planning, regulatory support, enrollment-related processes, and external engagement logistics. The Lead Operations Administrator advises division leadership by translating goals into coordinated operational plans, systems, and measurable outcomes, while developing dashboards and cross-departmental processes to support complex academic and operational activities through effective implementation and follow-through. The position requires the ability to work effectively in a diverse environment and the flexibility to maintain a variable schedule, including evening, weekend, and on-call hours, to support programs, events, community activities, and divisional operations. This position is currently in person at Highland Lakes/Southfield campuses, but will transition to our Orchard Ridge campus in Fall 2027!
Typical Duties
This description is intended to indicate the types of duties and responsibilities requested of the employee assigned this title. It is not intended to be an exhaustive list of all the duties and responsibilities that may be required:
- Serves as the division's lead operational coordinator, supporting the Executive Director and Dean by prioritizing operational initiatives, coordinating cross-departmental workflows, and ensuring the effective execution of assigned academic and administrative strategies.
- Provides operational and administrative support for new and expanding programs, including those associated with the new athletic complex, by coordinating timelines, supporting documentation and data collection, assisting with resource and budget modeling materials, tracking expenditures, and monitoring readiness milestones throughout program planning and launch phases. Supports the Executive Director, Dean, and division faculty and administrators by assisting with programmatic compliance from an operational and procedural perspective.
- Coordinates and facilitates operational workgroups to support alignment across academics, clinical operations, enrollment services, marketing, scheduling, facilities, and regulatory support areas; manages agendas, documentation, timelines, and follow-up actions.
- Supports division leadership by maintaining and organizing compliance-related documentation and tracking systems, monitoring regulatory timelines, coordinating data requests, and assisting with preparation of materials for institutional reporting, audits, and reviews.
- Works with Clinical Managers/Coordinators to manage operational processes and tracking systems related to instructional and clinical hours, partnering with the Registrar, Student Services, and Financial Aid to support accurate reporting and reconciliation.
- Assists the Executive Director and Dean through the development and maintenance of operational dashboards and audit routines related to instructional hours, clinical activity tracking, and course delivery logistics; identifies discrepancies and supports process adjustments as directed.
- Partners with Admissions, Marketing, Student Services, and Institutional Effectiveness to support enrollment-related operations by coordinating recruitment activity logistics, maintaining dashboards for pipeline and progression tracking, and supporting early-alert and persistence processes through data and workflow coordination.
- Utilizes D2L, CRM, and other institutional systems to produce operational reports and forecasts that inform scheduling capacity, resource allocation, and enrollment planning discussions led by academic leadership.
- Coordinates the Executive Director and Dean's participation in community events, speaking engagements, pinning ceremonies, and partner activities by providing logistical and administrative support, including scheduling, materials preparation, run-of-show documents, and staffing coordination.
- Ensures effective communication and operational coordination on initiatives and special projects across the division.
- Implements project management standards-including timelines, KPIs, risk tracking, and status documentation-to ensure academic and operational projects are delivered on time, within scope, and within available resources.
- Identifies and implements process improvements to enhance operational efficiency, documentation accuracy, compliance support, and the overall student experience.
- Provides executive operational support by monitoring workflow, managing correspondence, preparing meeting materials, and ensuring the Executive Director and Dean are prepared for engagements; coordinates high-level meetings and events and drafts reports, memos, and presentations for internal and external audiences.
- Serves as a central operational communication link between the Executive Director/Dean and internal and external stakeholders to ensure alignment, clarity, and timely dissemination of information.
- Develops and manages centralized systems and documentation to support audit preparation, institutional reporting requirements, and leadership-directed reviews.
- Assists with budget tracking and operational financial monitoring, including tracking expenditures, processing invoices, and maintaining documentation for lab-related adjunct staffing budgets (excluding simulation).
- Conducts research and compiles operational data and analyses for reports, presentations, compliance documentation, and leadership planning activities.
- Performs other related duties as assigned.
Knowledge and Skills Required
- Knowledge of higher education operations and administrative practices
- Knowledge of federal and state regulations applicable to nursing, vocational education, and health professions programs
- Advanced project management, problem-solving, and organizational skills
- Strong analytical skills, including the ability to interpret data and analyze operational metrics
- Exceptional communication and interpersonal skills, with the ability to work effectively with students, faculty, staff, and the public
- Ability to work both strategically and hands-on in a complex, fast-paced environment
- Strong attention to detail and ability to manage multiple priorities
- Proficiency with office software, D2L, and CRM systems
Minimum Education and Experience
EDUCATION: Bachelor's Degree required, Master's Preferred
EXPERIENCE:Three (3) years' experience working with accredited healthcare programs.
