Job Overview:
The Landscape Manager serves as the head for landscape and lake and ponds maintenance. Under the direction of the Executive Director and in coordination with the Landscape Commission and Lake and Ponds Commission, this role will manage contractor activities and projects and their associated budgets. As the timing of Five-Year and Annual Budgets require, work with the Executive Director and Chairpersons of both the Landscape Commission and Lake and Ponds Commission in development their respective budgets. Coordinate with the Finance Commission Chairperson to assemble budgets ready for presentation to the Master Board. This position is the pre-planning focal point for all routine Landscape Maintenance and Lake and Ponds activity. This individual maintains appropriate records which facilitate production of proposed monthly activity schedules. As needed, this position attends meetings of the Finance, Landscape, Lakes and Ponds Commission, as well as landscape inspection walk-throughs of the various condominiums.
Your Responsibilities:
The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all positions will be assigned every duty.
- Submit monthly report to Master Board, Landscape Commission and Lakes and Ponds Commission reviewing activities by Landscape Manager, Contractors, Work Order activity, Inspection Report summary and projected goals for coming month.
- Write monthly article for Shorelines updating and informing Unit owners about LBS landscape activities.
- Prepare for and attend Monthly Master Board meetings (Jan - Nov) write up landscape requests for Master Board approval and other preparation that may be requested.
- Prepare for and attend monthly Landscape Commission meetings (Mar - Nov) and Lakes and Pond Commission Meetings (April - Oct). Compile information, invoices, variances and other items to be included in the meeting packet.
- Monthly process all invoices related to Landscape / Lake and Ponds operations. Review for work completion. Notify contractors of incomplete work and request resolution.
- Process Work Orders as needed; obtain additional information or pictures for estimated Work Orders and send to the contractor. Keep a running spreadsheet of Work Order status that is used for contractor reports, tracking Work Orders that require estimates.
- Review monthly Work Order reports. Send out monthly maintenance Work Order reports, to contractors, highlighting open work orders that need to be completed.
- Review Unit Owner Variances for plantings and hard surface renovations. As variance is submitted continue the process from commission to condo to notifying Unit Owner of Variance status. Check application for compliance and request additional information if needed. Work with Unit owner to resolve problems. Write up recommendations for Commission and Condo review. Send out approval letter to Unit Owner.
- Available to meet with Unit Owners as requested to review maintenance issues, new plantings, and pruning issues. Address Unit Owner letters, Emails and phone calls with the appropriate responses.
- Available for Condo landscape inspections. Meet with Condo Reps and contractors one or more times a year to review landscape maintenance and new landscape enhancements. Process contractor estimates for LC Reps review and approval. Add approved items to current year inspection report spreadsheet for completion. Send updates to Reps and contractor for their records.
- Yearly in July/ August compile budget information and present landscape budget to Finance Commission. Track throughout the year budget expenses.
- Meet with contractors annually to review past performance and set goals for the new season. Numerous on-site meetings or walk through to review specific work issues or areas. Check on site crews for quality of work as they complete daily activities. Work with crews on execution of horticultural practices.
- Attend meetings or assist in landscape environmental events; Earth Arbor Day, and Garden Club Plant Sale. Work with committees related to landscape issues; Sustainable Landscape, Garden Club, Conservators and Landscape Task Force.
- Maintain and enforce all Landscape Policies.
- Oversee Landscape and Lake and Ponds annual projects including, but not limited to, tree removal, tree pruning, tree planting, tree inventory, retaining wall replacement, drainage swales and downspouts, building and site enhancements, seasonal color including exterior holiday lighting, lake and pond treatments
- Practice and adhere to FirstService Residential Global Service Standards.
- Conduct business at all times with the highest standards of personal, professional and ethical conduct.
- Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.
Supervisory Responsibility:
- On-site staff where applicable.
Skills & Qualifications:
- Bachelor's degree in Horticultural and Landscape Management or similar preferred
- Minimum of 5 years of landscape maintenance experience
- Supervisory experience preferred
- Proficient in MS Word, Excel and Outlook Knowledge
- Excellent organizational skills and project management
- Exceptional communication and interpersonal skills.
- Advanced written communication skills.
- Advanced Microsoft Office skills.
- Knowledge of basic accounting/budgeting procedures.
- Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
- Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats and in a timely manner
- Ability to conceptualize, plan and organize multiple programs and assignments effectively.
- Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
- Skill in developing and maintaining good working relationships.

- Must have finger dexterity for typing/using a keyboard.
- Must be mobile enough to move around both the office in order to make copies, send mail and! faxes and to walk around the property. This could include lengthy walks on uneven areas.
- Talking and hearing occur continuously in the process of communicating with guests, supervisors,! and other associates.
- Capable of working extended hours, to include evenings, weekends and holidays as necessary.
- This position may alternate between working indoors in a controlled climate and with proper lighting, to an outdoors setting with variable climate and lighting.
- Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.
- Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. Compensation:
$75,000-$85,000/annually
