Landscape Administrative Assistant

ROLE IMPACT
The Landscape Administrative Assistant serves as a key administrative partner to company leadership, supporting project coordination, customer communications, permitting, scheduling, and job preparation activities. Success in this role means ensuring projects are organized, customers stay informed, crews have the information they need, and office operations run efficiently from start to finish.
KEY RESPONSIBILITIES
• Serve as the primary point of contact for incoming customer calls, messages, and project-related communications.
• Create and maintain project files, permits, proposals, design documents, and customer records throughout the project lifecycle.
• Coordinate customer scheduling, job preparation, permit applications, deposits, inspections, and project documentation.
• Communicate proactively with customers regarding project timelines, scheduling updates, and service expectations.
• Support leadership with project coordination, crew scheduling assistance, ordering materials, and administrative special projects.
MINIMUM QUALIFICATIONS
• Previous office assistant, administrative support, project coordination, or customer service experience.
• Strong organizational skills with the ability to manage multiple priorities, deadlines, and project details simultaneously.
• High School Diploma or equivalent with excellent written and verbal communication skills.
CORE TOOLS & SYSTEMS
• Apple Mac computer environment (macOS)
• Microsoft Office or equivalent productivity software
• Multi-line phone systems
• Email and calendar management platforms
• Standard office equipment including printers, copiers, scanners, and filing systems
PREFERRED SKILLS
• Experience supporting construction, landscaping, field service, home services, or project-based operations.
• Ability to work independently and confidently support business owners and operational leadership.
• Strong initiative with a customer-focused and solution-oriented approach.
LEGAL NOTICE
• Physical Requirements: Bending, squatting, lifting up to approximately 25 lbs., and sitting for extended periods.
