The Key Administrators maintains records of all Housing keys (issue and return), performs regular key audits, issues and tracks all temporary, construction, and permanent lock cores and lock changes, monitors electronic key boxes and key security, and is responsible for the procurement of key and core replacement. Take calls after hours if issues with keys. Serves as part of the on-call rotation supporting the Work Control area 24/7/365 operations.

Primary duties include:

  • Responsible for all Housing Staff Keys (over 100 keys). Establish guidelines and procedures for key management within Housing, as approved by supervisor.
  • Creates work orders for the purpose of documenting activities. Prepares and maintains records of installed locks, lock changes, key replacements, and other relevant information for over 30 buildings and over 8,000 residents.
  • Responsible for the coordination and tracking of all lock/core replacements, including temporary, construction, and permanent cores.
  • Responsible for entering new key codes when locks are changed and new keys are delivered for over 30 buildings, and responsible for working with electronic key box vendors for over 30 buildings.

Job Related Minimum Required Education and Experience

  • Typically holds a high school diploma or GED. Requires 2 or more years of job related experience.

Required Certification, Licensure/Other Credentials Preferred Qualifications

Experience with Work Management processes and programs.

Experience with Key Control.

Some experience with key monitoring systems, relevant IT experience a plus

Knowledge/Skills/Abilities

  • High level of organization and customer service, interpersonal, written, and verbal communication skills. Excellent computer skills.
  • This position has been designated as essential personnel during inclement/hazardous weather and other emergencies.

Job Duties

Job Duty

Responsible for all Housing Staff Keys (over 100 keys). Establishes guidelines and procedures for key management within Housing, as approved by supervisor. Maintains records of all keys and ensures complete accountability at all times. Performs regular audits of all key boxes and keys issued to staff a minimum of twice a year. Maintains electronic key box security.

Essential Function Yes Percentage of Time 30 Job Duty

Creates work orders for the purpose of documenting activities. Prepares and maintains records of installed locks, lock changes, key replacements, and other relevant information for over 30 buildings and over 8,000 residents. Prepares reports documenting activities, inventory, and costs. Maintains records of when keys are issued and returned. Responsible for tracking key returns when Housing staff leave the University.

Essential Function Yes Percentage of Time 15 Job Duty

Responsible for the coordination and tracking of all lock/core replacement, including temporary, construction, and permanent cores. Orders all replacement keys. Coordinates the re-keying of buildings. Tracks all costs associated with key and lock replacements. Takes calls after hours if issues with keys.

Responsible for entering new key codes when locks are changed and new keys delivered for over 30 buildings. Responsible for working with electronic key box vendors for over 30 buildings. Responsible for outage response for electronic key boxes. Takes calls after hours to deal with issues.

Serves as part of the on call rotation supporting the Work Control area 24/7/365 operations.
