Position Description

Advertised Job Summary

The Junior Post Award Administrator provides post-award grant administration support within the Molinaroli College of Engineering and Computing (MCEC). Working under the guidance of the Director of Post Award and Senior Post Award Administrators, this position assists with the day-to-day administrative management of sponsored awards, assisting with account maintenance, retroactive payroll processing, reporting, reconciliations, and grants management activities. This role is key in maintaining financial accuracy, supporting operations and strengthening internal controls.

Job Related Minimum Required Education and Experience

Requires a bachelor's degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials Preferred Qualifications

Experience with post-award grant administration or sponsored programs management. Familiarity with grant management systems, and sponsored project administration processes in higher education or research. Knowledge of federal sponsor regulations and compliance requirements preferred.

Knowledge/Skills/Abilities

Strong organizational and problem-solving skills. Ability to interpret sponsor guidelines and University policies. Excellent written and verbal communication skills. Ability to manage multiple priorities and deadlines. Strong customer service orientation and collaborative approach.

Job Duties

Job Duty

Support the MCEC Post Award team with day-to-day administrative activities, including but not limited to maintenance of the MCEC grants mailbox; assist with payroll account changes, retroactive funding requests, cost transfers, and account updates in coordination with senior staff and central offices. Follow up on outstanding transactions and discrepancies to ensure timely resolution and accurate account maintenance. Review expense reports for accurate documentation. Distribute monthly financial reports to research faculty and assist with quarterly effort reporting activities.

Responsible for a portfolio of sponsored awards within MCEC, including federal, state, industry, and private awards, under the guidance of the Director of Post Award Services. Review new awards, establish and maintain grant accounts throughout the award lifecycle, monitor financial activity for compliance with sponsor, institutional, and regulatory requirements, and assist with project closeout activities and reporting deadlines. Maintain regular communication with faculty and departmental administrators regarding award activity, outstanding items, and effort on accounts.

Work closely with the Director of Post Award Services and other MCEC grants administrators to promote best practices in grant administration, fiscal stewardship, and regulatory compliance. Participate in research training programs and workshops. Developing knowledge of research compliance, policies, procedures, and best practices to help ensure compliance with sponsor, institutional, and regulatory requirements.
