Responsibilities:
Brasfield & Gorrie’s project team is seeking a Jobsite Assistant to join the project team. Below are the main responsibilities for the dual role position.
Responsibilities and Essential Duties include the following (other duties may be assigned):
- Provide day-to-day administrative support to the project management team (correspondence, mail, meetings, catering, business cards, etc.)
- Prepare expense reports and book travel via Concur for project and jobsite staff
- Support project setup and closeout — job startup, PDM entry, permits/licenses/insurance, Notice of Commencement, closeout documentation, and final job reports
- Maintain electronic project files and ensure they're complete and stored properly
- Manage contracts, purchase orders, subcontracts, and related documents (execution, licenses, safety documents, DocuSign)
- Support construction document management — drawings, spec logs, RFIs, and submittals
- Track material status and coordinate delivery on subcontracts and purchase orders
- Assist with SDP enrollment and bonding, and change order management
- Handle pay applications, lien waivers, invoice coding, and owner billing; research payment status in JD Edwards
- Coordinate Sales & Use Tax with accounting
- Enter employee time in JD Edwards and act as liaison between accounting, JSAs, and the project team
- Support field management (Superintendent, AFM, Foreman) with day-to-day jobsite operations
- Handle payroll, daily reports (Egnyte), and invoice/dray matching (OnBase)
- Manage employee lifecycle tasks — iCIMS postings, hiring field craft, onboarding, I-9/E-Verify, drug testing, transfers, termination paperwork, and living allowance changes
- Order jobsite supplies and equipment (Yardz), and schedule inspections/dig permits per Superintendent
- Handle deliveries, vendor/sales visitors, employee benefits questions, company card requests, and light office upkeep

- Proficient word processing skills
- Word and Excel experience
