Japanese Bilingual Corporate Administrator

Location: Torrance, CA (Hybrid, 2-3 days/w onsite) Work Hours: 8:30am – 5:00pm (Can be flexible) FLSA: Non-Exempt, Direct-Hire, Full-Time

The Japanese Bilingual Corporate Administrator supports office administration for approximately 50employees as a member of the Corporate Administration team. Reporting to the Administration Manager, this position is responsible for executing a wide range of general administrative and corporate support functions to ensure smooth day-to-day operations. This role provides support in corporate governance, compliance, facilities management, and overall office administration while maintaining alignment with company policies and regulatory requirements. The position requires strong organizational skills, attention to detail, and the ability to work independently. The candidate must be able to maintain effective communication in Japanese and English. Proficiency in both languages is required, along with intermediate-level Microsoft Office skills, including Excel.

Essential Duties and Responsibilities:
  • Support daily general administrative and office operations.
  • Assist in implementing annual administrative plans and internal procedures.
  • Coordinate trade compliance and privacy-related documentation.
  • Help maintain corporate insurance policies, licenses, and permits.
  • Provide administrative support for Shareholders' Meetings and Board-related matters.
  • Maintain corporate records and ensure proper document organization.
  • Coordinate facility-related matters to maintain a safe and organized office environment.
  • Support management of office security systems, access cards, and related processes.
  • Assist with tracking and maintenance of leased equipment, company vehicles, mobile phones, office supplies, and office keys.
  • Perform other administrative tasks and special projects as assigned.
Qualifications:

Business-level proficiency in Japanese and English. 3+ years of experience in administrative, operations, or general affairs roles. Strong organizational skills and attention to detail. Ability to manage multiple tasks and prioritize effectively. Comfortable handling confidential information. Proficiency in Microsoft Office.
