This Invoicing Specialist role offers a fast-paced and detail-oriented environment where accuracy and efficiency are key! Ideal for a motivated problem solver, the position involves complex invoicing, contract interpretation, cross-functional support, and clear communication under deadline-driven conditions.



LOCATION: Portland, OR

SALARY: $27-$29/hr. DOE

SCHEDULE: Full-time; Mon-Fri 8am-5pm | Temp-to-hire

KEY RESPONSIBILITIES 

  • Invoice & Financial Management - Interpret contracts, construct invoices, collect documentation, handle inquiries, process third-party invoices, and perform soft collections.

  • Sales & Contract Support - Assist with quotes, update contracts, run reports/stats, and maintain sales documentation.

  • Reporting & Compliance - Prepare internal/external reports, compile ISO files, and maintain standard operating procedures.

  • Office & Administrative Support - Provide secondary support by answering calls, greeting visitors, assisting with general office duties, and stepping in as needed for dispatch and payroll functions. 

  • Customer Service & Scheduling - Assist with customer communications, help maintain vessel schedules, and support daily allocation tracking as part of the scheduling team.
        

WHAT WE’RE LOOKING FOR 

  • General knowledge of accounting principles and financial statement interpretation

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)

  • Experience in bookkeeping or accounting; degree in accounting or business preferred

  • Strong analytical and organizational skills

  • Familiarity with the logistics or maritime industries

  • Knowledge of heavy equipment operations

  • Experience with AS/400 computer systems



PHYSICAL REQUIREMENTS
Must be able to perform standard office tasks, including prolonged sitting, computer use, light lifting (up to 15 lbs), clear verbal communication, and occasional movement to access office materials.
