This role is ideal for a highly organized professional with experience supporting patent and trademark matters , managing deadlines, and coordinating USPTO filings .Qualifications & Skills3+ years of experience as a Legal Administrative Assistant , Legal Secretary , Executive Assistant , or similar administrative roleStrong proficiency with Microsoft Office , including Microsoft Word and Microsoft OutlookExcellent organizational, communication, and multitasking abilitiesStrong attention to detail with exceptional proofreading and grammar skillsAbility to manage multiple priorities in a fast-paced legal environmentWillingness to work occasional overtime when necessaryKey FunctionsProvide legal and administrative support to Intellectual Property attorneysManage attorney calendars, schedules, meetings, and critical deadlinesComplete legal billing , time entry, and accounting system data entryProcess client invoices and coordinate payment of vendor invoicesPrepare, review, and file documents with the United States Patent and Trademark Office (USPTO)Assist with IP docket management and monitor critical filing deadlinesMaintain electronic patent application files and related documentationReview incoming correspondence and proactively coordinate next stepsCommunicate with clients, attorneys, and internal stakeholders via phone and emailMaintain accurate client records, reporting instructions, and contact informationCollaborate with colleagues and departments to ensure timely completion of assignmentsCross-train with the docketing team to support continuity during absencesReview biweekly deadline reports and coordinate follow-up regarding non-extendable deadlinesGrow Your Legal CareerIf you have experience in Intellectual Property law , USPTO filings , patent administration , or legal administrative support , we encourage you to apply and take the next step in your legal career.Founded in 1969, JOHN LEONARD, a woman-owned business, is the premier staffing choice in Boston and beyond.
