As an Intake Specialist, you'll be the first point of contact for individuals seeking services, helping create a welcoming, compassionate, and supportive experience while connecting community members with the resources they need.

Position Summary

The Intake Specialist plays a critical role in ensuring individuals and families receive a positive first experience with GASA. This position manages the intake process for Social Stability and Early Childhood Education services, conducts assessments, maintains accurate documentation, supports community outreach, and works closely with Case Managers to ensure members are connected to appropriate services.

The ideal candidate is organized, compassionate, customer-focused, and comfortable working in a fast-paced nonprofit environment.

Responsibilities

Intake & Member Services

  • Conduct intake appointments for new members on designated intake days.
  • Complete comprehensive intake assessments for individuals seeking Social Stability and Early Childhood Education (ECE) services.
  • Review member self-assessments and prepare documentation for Case Managers.
  • Serve as the primary point of contact for new members and referral agencies throughout the intake process.
  • Provide a welcoming, trauma-informed experience for every individual entering GASA's programs.

Customer Service & Communication

  • Communicate clearly with members regarding eligibility, intake status, available services, and next steps.
  • Explain GASA programs and community resources.
  • Respond professionally to member and referral agency inquiries.
  • Deliver exceptional customer service while building positive relationships with members and community partners.
  • Staff the Social Stability front desk every Thursday from 8:30 a.m.–12:00 p.m., answering phones, greeting visitors, directing inquiries, and providing administrative support.

Documentation & Data Management

  • Accurately enter member information into Salesforce and other agency systems.
  • Maintain complete and compliant intake documentation.
  • Follow up on Salesforce leads within established timelines.
  • Organize and maintain electronic and physical member files.
  • Track member service status and ensure accurate recordkeeping.

Community Outreach & Engagement

  • Attend a minimum of three community resource events each month.
  • Promote GASA's programs and services throughout the community.
  • Assist with Parking Lot Friday by recruiting community partners and engaging community members.
  • Plan and coordinate two member engagement activities each month.
  • Support agency and community events, including occasional evenings (up to two per week) and one to two Saturdays each month.

Collaboration

  • Partner with Case Managers to ensure successful member referrals and service coordination.
  • Collaborate with staff across departments to support seamless service delivery.
  • Follow up with prospective members regarding appointments, documentation, and enrollment requirements.
  • Assist with internal referrals and ongoing member support.

Qualifications

Required

  • High school diploma or GED.
  • Excellent customer service and interpersonal communication skills.
  • Strong organizational and time management abilities.
  • Ability to work effectively with diverse populations.
  • Ability to maintain confidentiality and accurate documentation.
  • Flexible schedule to accommodate occasional evenings and weekends.
  • Ability to work collaboratively in a team environment.

Preferred

  • Experience with Salesforce or another case management system.
  • Previous experience in customer service, intake, administrative support, or social services.
  • Knowledge of community resources and nonprofit services.
  • Experience with data entry and record management.
  • Public outreach or community engagement experience.
