Role Overview
The Client Services Intake and Engagement Specialist is the front line of the NW Legacy Law client experience and a key contributor to new client growth. This role carries two equally important responsibilities: handling client intake with empathy and skill, and growing the firm's pipeline through outreach, webinars, and in-person engagement.
On the intake side, you guide prospective clients from first contact through booked consultation. You build rapport, lead discovery conversations, and make people feel cared for from the first call.
On the outreach side, you represent NW Legacy Law in the community. You host webinars, make outbound calls, attend events, speak in front of groups, and build relationships with referral partners. You bring warmth and energy to every interaction, whether on the phone, on a Zoom, or in person.
You will report to the Operations Manager and work closely with the attorneys and the rest of the Client Services team.
Key Responsibilities
Client Intake
- Answer inbound calls and online requests from prospective clients with warmth, clarity, and professionalism
- Lead discovery conversations that uncover the prospective client's situation, goals, and concerns
- Book consultations with attorneys, manage scheduling, and confirm appointments
- Follow up promptly with leads to keep the pipeline moving and reduce no-shows
- Send intake materials, intake forms, and pre-consultation communications
- Document all client interactions accurately in the firm's CRM
Outreach and Engagement
- Host and co-host live educational webinars on estate planning and probate topics for prospective clients and referral partners
- Make outbound and cold calls to past leads, marketing list contacts, and prospective referral sources
- Represent NW Legacy Law in person at community events, networking groups, senior centers, retirement communities, and partner events
- Speak at community groups, religious organizations, and partner businesses to introduce the firm and its purpose
- Build and maintain relationships with referral partners such as financial advisors, CPAs, hospice teams, and senior service providers
- Plan and run outreach campaigns that move leads from awareness to consultation booking
- Partner with firm leadership on marketing campaigns, content topics, and event ideas
- Support the firm's social media presence by engaging with comments, messages, and online community questions
Pipeline Tracking and Reporting
- Track intake calls, outreach activity, event results, and consultation conversion rates
- Provide weekly updates to the Operations Manager on pipeline volume, conversion, and outreach progress
- Suggest improvements to intake scripts, follow-up sequences, and outreach approaches based on what you see and hear in the field
Required Qualifications
- 2+ years of experience in a client-facing role that combined inbound service and outbound sales, business development, or community engagement
- Proven phone presence: comfortable with cold outreach, warm follow-up, and consultative conversations
- Strong in-person presence: personable, engaging, and confident speaking to individuals, small groups, and audiences
- Experience hosting or presenting webinars, workshops, classes, or community events
- Excellent verbal and written communication skills with active listening
- Comfortable using CRM systems, video conferencing tools, and standard office software
- Professional appearance and demeanor that represents the firm well in any setting
- Self-motivated with strong time management and the ability to balance intake duties with outbound activity
- Reliable transportation and willingness to attend events around the Vancouver and Portland metro area
- Some evening or weekend availability for events and webinars
Preferred Qualifications
- Experience in professional services (legal, financial, or advisory)
- Background in estate planning, probate, or related services
- Experience speaking at public events, hosting community classes, or running webinars
- Existing network of referral partners in the Vancouver and Portland metro area
- Sales training in consultative selling, SPIN, Sandler, or similar methodology
- Experience working in a mission-focused professional services firm
Compensation and Benefits
NW Legacy Law offers a comprehensive benefits package:
Salary: $55,000 - $65,000 annually, depending on experience and qualifications
Health Insurance: Medical coverage available after 60 days of employment
401(k): Eligible after 4 months; firm provides a 4% match on 5% contribution
Paid Time Off: 10 days PTO in year one, increasing to 15 days after 2 years and 20 days after 6 years
Sabbatical: 4-week paid sabbatical after every 4 years of service

Work Environment
This is an on-site position based at our Vancouver, Washington office. You will spend most of your time at the office handling intake calls and follow-up, with regular travel to local events, networking groups, and partner meetings throughout the Vancouver and Portland metro area. Some evening or weekend availability is required for community events and webinars.
