Inside Sales Support Specialist

Location: Tipp City, Ohio 
Status: Full-Time, On-Site

Headquartered in Tipp City, Ohio, OA serves customers across the automotive, HVAC, aerospace, industrial, and power tools markets worldwide. Position Summary

The Inside Sales Support Specialist plays a critical operational role within the Odawara Automation sales team. This position serves as the primary point of contact for inbound customer inquiries, manages and continuously improves our HubSpot CRM, coordinates trade show participation, and supports the outside sales team throughout the quoting and proposal process. The ideal candidate is highly organized, a strong communicator, and eager to grow with a technically driven company.

This is an entry-level to early-career opportunity well suited to a motivated individual with the ability to understand and explain technical equipment who wants to build a career at the intersection of sales, marketing, and customer service in a specialized industrial environment.

Key Responsibilities

Inbound Inquiry Management

• Field and respond to new customer and prospect inquiries received via phone, email, website contact forms, and HubSpot CRM

• Qualify inbound leads and route them appropriately to the outside sales team

• Ensure timely, professional follow-up on all inquiries and maintain accurate records of all interactions

CRM Administration & Improvement

• Manage day-to-day operations of HubSpot CRM including contact records, deal pipelines, and activity logging

• Work toward becoming OA’s internal HubSpot subject matter expert — training will be provided

• Identify and implement process improvements to increase CRM data accuracy, completeness, and team adoption

• Generate regular sales activity and pipeline reports for leadership review

Sales Support & Quoting

• Support the outside sales team in the preparation of price quotes, proposals, and bid documentation

• Coordinate with engineering and operations to gather accurate lead times, pricing, and technical specifications needed for proposals

• Maintain organized records of quote activity, win/loss outcomes, and follow-up status in HubSpot

Trade Show & Event Coordination

• Manage all logistics for OA’s trade show participation including registration, booth selection, exhibit design, construction, shipping, setup, and teardown

• Maintain a calendar of industry events and proactively manage deadlines for submissions, payments, and materials

• Coordinate pre-show and post-show communications and lead capture processes

Marketing Partner Liaison

• Serve as OA’s primary day-to-day point of contact with our third-party marketing partner

• Coordinate content approvals, campaign timelines, and deliverables between the marketing partner and internal stakeholders

• Assist with review and distribution of marketing content including social media posts, website updates, and promotional materials

Customer & Visitor Coordination

• Coordinate logistics for customer visits to OA’s Tipp City facility including scheduling, facility preparation, and internal communications

• Support customer communication during the order and project lifecycle as needed

Reporting & Internal Communication

• Track and report key sales metrics and KPIs on a regular basis to support management decision-making

• Support communications with OA’s Japanese parent company, Odawara Engineering, Ltd., as needed

• Maintain organized records and documentation in support of the sales and marketing functions

Qualifications & Requirements

Education

• Associate’s degree in Business, Marketing, Communications, or a related field preferred

• Equivalent combination of education and relevant work experience will be considered

Experience

• 0–3 years of experience in inside sales support, customer service, order management, or a related role

• Experience in an industrial, manufacturing, or technical sales environment is a plus but not required

Technical Skills

• Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook

• Experience with HubSpot CRM is a plus; candidates without HubSpot experience but with strong CRM aptitude are encouraged to apply — training will be provided

• Comfort learning new software platforms and internal systems

• Comfort learning about the technical operation of the Odawara equipment to then explain it to customers
