Job PurposeThe Imaging Specialist will ensure all patient encounters are received and prepared for scanning in an accurate and timely manner. Knowledge of HIPAA guidelines and the ability to work with physicians and other healthcare providers is essential. Duties & Responsibilities Verify receipt of all inpatient and outpatient discharged records utilizing reconciliation measures and following up on missing records to ensure they are received in a timely mannerStrong attention to detail is critical when prepping paper chart for scanning while confirming the patient name, medical record number and account number are on every page in the chart, front and backInitiative to repair forms as needed such as torn, wrinkled, folded and dog-eared pages is expectedEnsure the integrity of the legal medical record by removing all staples and paper clips, identify and separate multi-part forms prior to scanning the originalCopy all damaged documents so that they are fed through the scanner without difficultyScan all paper documents within each medical record is criticalResponsible for troubleshooting repairs and routine maintenance of scanner. This may include replacing and ordering parts, taking appropriate action when the scanner is not working properly and cleaning the scanner with appropriate cleaning solution and materials as needed.Maintain daily scanning logs and weekly reports of activity for data collectionTrain new staff and promote teamwork while providing assistance to customersServe as a resource for other members of the organization in regards to policies and proceduresOther duties as assignedUse, protect and disclose patients’ protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standardsUnderstand and comply with Information Security and HIPAA policies and procedures at all timesLimit viewing of PHI to the absolute minimum as necessary to perform assigned dutiesQualificationsHigh School graduate or equivalent is requiredAt least 2 years' experience in a medical record department requiredPrevious medical record experience required Proficiency in Microsoft Office Suite Strong interpersonal skills, ability to communicate well at all levels of the organizationStrong problem solving and creative skills and the ability to exercise sound judgment and make decisions based on accurate and timely analysesHigh level of integrity and dependability with a strong sense of urgency and results oriented Excellent written and verbal communication skills requiredGracious and welcoming personality for customer service interactionWorking ConditionsAbility to work weekends and/or holidays on a rotating scheduleMust possess a smart-phone or electronic device capable of downloading applications, for multifactor authentication and security purposes.
