Job Summary and Qualifications

The Coordinator Imaging Administration is responsible for Kronos, coordinates information flow within assigned areas, oversees clerical operations in the CVIC, acts as Records and Retention Coordinator and serves as a resource to staff. The Coordinator is also the point person for processing of health information between the referring office, CVIC and health information management (HIM). The coordinator uses open, professional communication (verbal, non-verbal, and written) to directly interact with physicians, patients, guests and other health team members. The Coordinator demonstrates organizational and time management skills, ability to work with and without supervision, provides quality work, meets productivity expectations, accepts change, prioritizes and is capable of multitasking. The individual assists the Director /Manager in ensuring day to day operation of CVIC Administrative Services meets required deadlines. This position works closely with other healthcare team members to facilitate exceptional patient care and efficient completion of diagnostic studies while also promoting optimal unit operations. The Administrative Assistant adheres to the customer service standards while maintaining a clean, efficient, and safe work environment.

Responsibilities of the CVIC Imaging Coordinator

  • Approving and adjusting time clock punches daily.
  • Assist personnel with questions concerning policies, benefits, payroll, and attendance and scheduling.
  • Work with payroll and Department Manager to facilitate correction of any payroll errors.
  • Retain correction forms according to the records and retentions policy
  • Oversee clerical operations in the CVIC’s and serve as a resource for staff assigned to this location.
  • Communicate pertinent issues to technical staff, Clinical Coordinators, Managers, Educator Directors/Manager, HIM and Physician in a timely manner.
  • Utilize open, professional communication (verbal, non-verbal, and written) to directly interact with physicians, patients, guests and other health team members.
  • Make decisions of moderate difficulty that reflect both knowledge and good judgment.
  • Handle confidential information regarding patient activities.
  • Demonstrate an effective working knowledge of equipment used in Cardiology related to their job function.
  • Work with customers when necessary to create an exceptional experience in the designated CVIC.
  • Flex schedule in order to meet the needs of the department.
  • Collect charts daily from all CVIC clinics
  • Gain an understanding of the Chart orders and be able to recognize documents by name and purpose and assemble them into the chart.
  • Update Chart spreadsheets according to EPIC. Print loose reports daily, label reports, and update the report spreadsheet.
  • Print all signed reports, label all paperwork, and send charts to Health Information Management Daily.
  • Send weekly emails to Health Information Management and Physician Group of all pending unsigned reports.

Qualifications of the CVIC Imaging Coordinator

Required:

  • High School Diploma or GED equivalent
  • Minimum 1 year of experience in general secretarial responsibilities (typing, filing, etc.)

Preferred:

  • Previous experience as an administrative assistant in the healthcare industry
  • Completion of a secretarial/administrative assistant vocational program
