This role will be based in our Boston office, on a hybrid basis. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building. This role reports to the IP Prosecution Manager.
Position Summary
We are seeking a motivated and detail-oriented individual to join our Intellectual Property Prosecution team in Boston as an IDS Specialist. In this role, you will support attorneys and legal team members by preparing and filing important patent-related documents with the U.S. Patent and Trademark Office, tracking deadlines, and maintaining accurate records in our database.
You will work closely with attorneys, patent professionals, and support staff while playing a key role in keeping patent files organized and compliant. This position is well suited for a recent graduate or early-career professional who is eager to learn and grow within a specialized area of intellectual property law. Key Responsibilities
Prepares, reviews, and files Information Disclosure Statements (IDS) with the U.S. Patent and Trademark Office (USPTO).
Reviews U.S. and foreign Office Actions and patent family materials for cited references and disclosure requirements.
Coordinates attorney review of IDS filings and track related deadlines.
Audits patent files for IDS compliance during intake and prior to issue fee payment.
Maintains and updates IDS citation records and related data in the Anaqua database, including historical backfill projects.
Communicates with attorneys, clients, docketing staff, and foreign associates regarding U.S. and foreign disclosure obligations.
Assists with additional patent support projects, including PTA calculations, chain‑of‑title research, diligence, assignments, and name‑change matters.
Reviews daily attorney dockets, flags critical deadlines, and supports process improvement and documentation efforts.
Stays current on U.S. and foreign patent office rules and procedures related to disclosure and prosecution.
Meets billable hour requirements and follows best practices for time entry.

Education & Prior Experience
Bachelor’s Degree required.
Prior experience in a law firm or professional setting involving patent prosecution, IDS practice, or related legal support is preferred, but not required.
Familiarity with USPTO rules and procedures related to the filing of IDS documents is a plus; training will be provided.
Technology
Excellent computer skills, including proficiency in using Microsoft Word, Outlook, Excel, and PowerPoint, and comfortable learning new applications and software.
Experience with Anaqua is highly preferred.
Demonstrates a basic understanding of artificial intelligence (AI), including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment
Familiarity with or willingness to learn AI platforms (e.g., Microsoft Copilot, ChatGPT, or similar tools) and incorporate them responsibly into day-to-day workflows to enhance daily work tasks as appropriate and/or directed
Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation
The expected pay range for this position is:
$33.33 to $41.02 per hour
Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law.
