GENERAL DESCRIPTION
The Human Services Executive Coordinator provides comprehensive administrative, operational, financial, and program support for Human Services programs and executive leadership. This position supervises staff, coordinates payment processing and reporting functions, maintains compliance with program policies, supports executive operations, and assists with community and elder services initiatives.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Provides high level administrative support to the Human Services Executive Director and leadership team.
• Manages complex calendars, schedule appointments, coordinate meetings, and prepare agendas and materials.
• Drafts, edits, and prepares professional correspondence, reports, presentations, and internal communications.
• Coordinates communication with staff, departments, vendors, external partners, and community stakeholders.
• Maintains confidential records, files, personnel documents, and sensitive organizational information.
• Tracks deadlines, action items, follow-up tasks, and project timelines to support executive and program initiatives.
• Assists with daily office operations, workflow coordination, onboarding activities, and staff communications.
• Coordinates administrative and operational activities across Human Services programs.
• Provides guidance, training, and support to assigned staff to ensure efficient program operations.
• Assists departments with administrative and operational needs as assigned.
• Supports Elder Nutrition and Elder Activities programs with operational, reporting, and logistical tasks.
• Serves as a point of contact for staff, community members, and partners regarding program information and resources.
• Promotes positive working relationships and effective communication across all program areas.
• Prepares and assists with monthly, quarterly, and annual reports.
• Compiles and maintains program data, statistics, spreadsheets, and required backup documentation.
• Provides data summaries and reports for leadership review and funding or regulatory requirements.
• Supports compliance activities, including audit preparation and maintaining required documentation.
• Monitors adherence to program regulations, policies, procedures, internal controls, and quality standards.
• Assists with payment processing, purchase requests, invoices, and financial tracking for programs.
• Maintains accurate documentation for financial activities to ensure compliance and audit readiness.
• Coordinates procurement, supply orders, vendor communication, and contract related administrative tasks.
• Assists with community focused initiatives, events, and activities, including services for elders and vulnerable populations.
• Performs other duties, tasks, and services consistent with this position as assigned.
LEVEL OF RESPONSIBILITY
• This position directly supervises human services employees.
• Assignments received with set guidelines, organizes own work, and sets own processes.
QUALIFICATIONS
• Associate’s degree in business administration, public administration, human services, related field or an equivalent combination of education and experience in lieu of degree.
• Three (3) years of administrative, program coordination, or executive support experience.

PHYSICAL REQUIREMENTS
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is regularly required to stand; walk; reach with hands and arms; climb or balance and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
CERTIFICATES, LICENES, REGISTRATIONS
• Must possess a valid driver's license with a driving history verified through a motor vehicle report that meets the requirements for Cherokee Nation underwriting rating.
OTHER REQUIREMENTS
• The employee must not be and will not be under sanction by the United States Department of Health and Human Services Office of the Inspector General (OIG) or by the General Services Administration (GSA) or listed on the OIG's Cumulative Sanction Report, or the GSA's List of Excluded Providers, or listed on the OIG's List of Excluded Individuals/Entities (LEIE).
• Must meet and maintain pre-employment and periodic background investigation and adjudication for child care.
