This position provides professional support and expertise in the implementation of a broad range of human resource functions. The incumbent serves as a HR and payroll liaison between the departments of the College of Veterinary Medicine and areas of campus (Employment and Classification, Payroll and Tax Services, Academic Affairs, Central Leave, Benefits, and Immigration Compliance Services). This area is responsible for HR/payroll functions for the, Small Animal Clinical Sciences, Large Animal Clinical Sciences, Infectious Diseases and Immunology, Comparative, Diagnostic and Population Medicine and Physiological Sciences Departments; posting and updating job positions; processing payroll distributions; and administrating and coordinating H1-B, TN, and Green Card application visa requests within CVM. This position must be knowledgeable of policies and procedures governing Academic Personnel. Incumbent must be able to convey pertinent information to the departments of the College of Veterinary Medicine and other areas of campus. Incumbent should be able to trouble-shoot exceptional and difficult Time and Labor situations for all areas of the college and maintain effective working relationships with Payroll and Tax Services, Immigration Compliance Services and the Human Resource Services staff.

Job Description:

Academic Personnel Processing Duties:

  • Manages locum hire and payment processing for the CVM.
  • Assists with processing and inputting all Academic Personnel new hire appointments into the Peoplesoft payroll system for the College of Veterinary Medicine. Verifies that all payroll sign up material is completed correctly and sent to main campus human resources by established HR deadlines. Works directly with campus HR partners to resolve problems that may arise with appointments. Serves as resource to CVM departments, regarding academic personnel actions.
  • Assists with establishing new positions, and inputs vacant job postings in the GatorJobs system.
  • Responsible for completing and reviewing paperwork for personnel transactions. Processes personnel actions via ePAF system: new hires; terminations; department ID changes; salary increase/decrease; reassignments; dual employment; extra state compensation requests; supervisor updates. This includes data pertaining to all CVM Academic Personnel.
  • Analyze and prepare processes and procedures in relation to completion of special projects and scenarios.
  • Must be able to complete all the above when employing Foreign Nationals as well.
  • Inputting data into the GatorJobs recruitment system. Assisting immediate search committees with obtaining information from GatorJobs during the search and offer phase.

Visa Responsibilities:

  • Administer and coordinate all aspects of processing Visa requests, in cooperation with UF Immigration and Compliance Services.
  • In cooperation with Fragomen, process H-1B Visa to employ nonresident aliens temporarily in faculty and certain approved postdoctoral positions.
  • Process TN Visa to employ nonresident aliens temporarily in faculty, postdoctoral, resident, and intern positions.
  • Administer and coordinate all aspects of processing individual’s permanent residency status (Green Card).
  • Maintain quarterly VISA reports

Fiscal/Payroll Duties:

  • Serve as a contact for the CVM administrative offices and departments in matters of payroll, time and leave inputting, on-call payments, shift differential, retroactive pay increases, and supervisory approval.
  • Serves as proxy for supervisors on an individual case-by-case basis. Provides support to payroll contacts in other departments.
  • Works with office of Finance & Accounting and departmental administrators to ensure that all academic personnel are properly distributed in the payroll HRMS system. Verifies that appropriate account numbers are current and correct. Completes retro transactions upon request.
  • Completes forms to request wage refund amounts in the cases of overpayments to employees. Completes forms to stop and/or cancel errant checks. Works with departments to collect overpayments and return them to campus Payroll. Completes paperwork to request off-cycle checks for incomplete or missing paychecks. Audits time for academic personnel who claim pay shortages.

Leave Duties:

  • Assists with annual leave audits for CVM Administration employees, or date-specific audits as requested by supervisor or administrators.
  • Answers questions and troubleshoots leave discrepancies and questions for departmental employees as needed. Works with Central Leave in making leave adjustments.
  • Completes forms and maintains file for leave pay-outs for departing Academic Personnel.

Administrative Duties:

  • Backs up HR Manager as needed or requested.
  • Assures that all academic personnel paperwork is processed in a timely manner, and that all personnel functions are entered into the Peoplesoft system by posted deadlines.
  • Maintain Colleges People soft shadow database for all past and present CVM personnel as well as CVM organizational charts, and document imaging system.
Expected Salary:

$22.04 - $23.95 / hourly

Required Qualifications:

Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.

Preferred:

Knowledge of principles and techniques of effective written and verbal communication; knowledge of principles of basic arithmetic.
