Merrill Area Public Schools (MAPS) has an opening (and exciting opportunity) for a coordinator position in the Human Resources Department. The Human Resources Coordinator provides comprehensive technical and administrative support to manage key district workflows. Under the direction of the Director of Human Resources, the Coordinator assists with daily operations involving onboarding, offboarding, contract administration, and compliance reporting while fostering a positive, quality-focused district culture.
Essential Duties & Responsibilities (other duties as assigned):
Assist with the coordination of job applications, and hiring of district employees, including, but not limited to background checks, and issuing individual letters of employment and contracts.
Under supervision of the Director of Human Resources, maintain work flow of various activities related to Human Resource management:
Onboarding
Personnel file maintenance (all types)
Separation (offboarding)
Maintain the monthly personnel report for committee and board meetings.
Facilitate and participate in onboard processes for new staff, including sub training.
Produce teacher contracts, employment letters, and Memoranda of Understanding.
Maintain confidentiality in all aspects of District business and employee relations.
Maintain Skyward's Employee Management module for regular staffing plans and separate plans for co-curricular activities, extended contracts, etc.
Manage the True Time module in Skyward, troubleshoot employee clocking issues, and escalate unresolved variances to the Director.
With support from the Director of Human Resources, manage and coordinate employee benefits, including the Employee Assistance Program (EAP), Medicare Part D, HRA, and wellness programs.
Support the annual insurance open enrollment process (with assistance from accounts payable specialist)
The Human Resources Coordinator provides comprehensive technical and administrative support to manage key district workflows. Under the direction of the Director of Human Resources, the Coordinator assists with daily operations involving onboarding, offboarding, contract administration, and compliance reporting while fostering a positive, quality-focused district culture.
Serves as a compassionate and objective primary point of contact for staff navigating complex personal and professional transitions
Exercises high-level empathy, active listening, and discretion when guiding employees through difficult conversations regarding FMLA, medical leaves, accommodations, and handbook compliance.
Other duties as assigned.
Related to Reporting:
Assist the Director of Human Resources in the completion and certification of required reports for local, state, and federal entities which include, but are not limited to the following:
Department of Public Instruction (DPI) 1202 WISE Staff
Includes WISE ID creation and maintenance
Department of Safety and Professional Services (DSPS)
Equal Employment Opportunity Commission (EEOC)
OSHA Reporting
Processes year-end 1099 forms and federal reports and 1095C forms.
Other reports that are required of MAPS
Keeping and maintaining accurate records to complete required reports.
Related to Recruitment, Selection, Onboarding, and Offboarding:
Initiate job offers to newly hired staff including DPI licensure confirmation and explain the onboarding process.
Support the maintenance of Skyward's Employee Management module
Assist with both virtual and in-person career fairs as requested by the Director of Human Resources.
Processes and maintains employee benefits paperwork.
Related to Operations, Handbooks, and Policies:
Under the supervision of the Director of Human Resources, participate as needed in employee investigations related to handbook and policy violations as well as violations of local, state, and federal law.
Assist with the organization and planning of the end-of-year activities to celebrate retirees and staff awards.
Place orders for materials, awards, meetings, etc.
Monitor PTO and vacation leaves including FMLA, and disability to enforce handbook provisions.
Coordinate the district's FMLA process.
Maintain substitute roster, training completion, availability, and licensure (through the use of Aesop/Frontline).
Assist with maintaining the Human Resources website.
Related to Other Specified:
Supports day-to-day operations for the Director of Human Resources as needed, while maintaining 100% confidentiality.
Performs research for the Director and works on special projects as needed.
Attend committee meetings as requested by the Director of Human Resources.
Keep informed with legislation, directives, policies, and other best practices related to Human Resources related activities.
Leads the Fieldprint Fingerprinting community program.
Supports (does not evaluate) assistants at the central office and building level who work on human resource activities and collaborates to ensure successful execution of human resource processes and policies as well as their respective handbooks.
