SUMMARY:

Under general supervision, performs and coordinates functions of the Human Resources Department, assists Human Resources Manager, Human Resources Supervisor, Generalist/s, and Sr. HR Coordinator, and performs other related duties, as assigned.

Reports to: Human Resources Manager

Bilingual: English/Spanish required

Work Schedule: Monday–Friday | 6:00 AM – 2:00 PM

 

CORE RESPONSIBILITIES:
• Administer internal and external recruitment and employment processes to include:
• Managing the full recruitment function on the HCM platform;
• Coordinate all interviews, notifications, and hiring administrative functions;
• Coordinate all pre-employment activities;
• Review employment applications from all staffing agencies; evaluate candidate to determine fit for the job being presented for and forward to the proper hiring manager, as appropriate; 
• Review and submit timecards to each perspective staffing agency;
• Record hours on Temp log; save timecards to HR Share drive
• Review all invoices from Staffing agencies for accurate hours and bill rate, and code and submit for payment; 
• Maintain and update internal Master I-9 log and closely monitor the Employment Authorization Document /Cards (EAD/EAC) process to ensure timely processing for expiring documents.
• Performs all general administrative duties for HR Department, including but not limited to:
• Answers phones and helps internal and external customers who come into the HR office;
• Approve and submit invoices to Accounts Payable for payment.
• Update Temp Headcount report for Payroll
• Assists employees who come to complete training at the kiosks;
• Responds to employment verification requests;
• Performs benefit administrative duties for HR Department, including but not limited to:
• Prepares and distributes insurance benefit eligibility notices to employees;
• Performs 401(k) administration, including but not limited to, entering 401(k) deferrals and changes in HCM based on 401(k) salary deferral change reports received from provider;
• Reviews, verifies, and approves employee Jury Duty and Bereavement requests, and advises 
employee’s departmental timekeeper of approvals
• Translate memos, employee bulletins, and other human resources related documents into Spanish;
• Regular punctuality, attendance, and absence reporting in conformance with company policies is essential to the successful performance of this position; 
• Fully comply with company rules, policies, procedures, and safety guidelines to ensure safe and effective operations.
• Primary backup person for the following activities:
• Enter 401k Deductions and benefit deductions;
• Administer and process benefit and work apparel invoices for payment


QUALIFICATIONS:

  • High School or equivalent
  • Minimum of 3-5 years’ experience working in Human Resources in a 250+ manufacturing environment, or a combination or equivalent of these requirements. 
  • Familiarity with an HRIS or HCM platform
Knowledge/Skills/Abilities:
• Working knowledge of office administration and recordkeeping practices, procedures and privacy regulations; 
• Working knowledge of state, federal employment and benefit laws, and regulations especially in California;
• Ability to communicate effectively both verbally and in writing;
• Ability to maintain detailed and accurate records; 
• Ability to work cooperatively with others and communicate effectively with co-workers, applicants, and employees; 
• Ability to maintain privacy and confidentiality of personnel and payroll data; 
• Must be proficient in MS Office, Word, and Excel software application programs, 
• Ability to operate standard office equipment;
• Ability to follow oral and written instructions. 

Physical Requirements: 
• Ability to occasionally lift and/or carry boxes of office supplies, files, etc. up to 15 lbs.; 
• Ability to stretch, bend, and stoop; 
• Ability to drive an electric cart throughout the facility;
• Most work tasks are performed indoors where the temperature is moderate and controlled by office environment systems;
• Ability to work (sit and/or stand) at a desk for the majority of the workday; walking and/or standing may be required for the remainder of the workday. Length of time performing these physical requirements may vary from day to day and task to task;
• Requires grasping, writing, sitting, standing, walking, repetitive motions, pulling, pushing, listening and hearing ability, and visual acuity; 
• Ability to operate office equipment such as computers, printers, VOIP phones, filing cabinets, photocopiers, and other office equipment as applicable;
• Ability to file materials alphabetically, numerically, and chronologically, as applicable; 
• Ability to audit own work and that of others to ensure accuracy;
• Ability to work in a fast-paced environment, with the flexibility to quickly change from one thing to another, as the need arises; and
• Ability to perform essential functions of the job, as defined;

Special Requirements: 
• Ability to speak, read, and write accurately and fluently in both English and Spanish is required
 

Compensation

The projected hourly rate is estimated at $27.00 - $32.00 per hour, based on years of demonstrated experience, representing the span of the range. The actual compensation will be formulated by the client and may vary based on factors that include, but are not limited to, the position offered, work experience, education, training, and commensurate experience.
