The Human Resources Assistant provides administrative support for routine and ongoing HR operations, including delivering employee customer service and processing personnel transactions that impact payroll and recordkeeping. This role assists with onboarding activities, maintains accurate and compliant employee records, and supports day-to-day HR functions.

Essential Duties

  1. Clerical Operations
  • Assists with onboarding activities for new employees, including processing I-9, W-4, direct deposit, and policy acknowledgment forms.
  • Supports employment verifications and other related checks.
  • Processes payroll and personnel action forms within established deadlines.
  1. Customer Support
  • Provides customer service and responds to inquiries in person, by email, and by phone regarding HR programs, benefits, and general processes.
  • Troubleshoots and assists employees with online HR systems such as EPAF, the Employment System, and Web-Time Entry.
  • Serves as a resource for EPAF creation for student and temporary employees.
  1. Record Keeping
  • Maintains and manages personnel records in compliance with university policies and applicable regulations.
  • Supports record imaging and retention processes.
  1. Workers' Compensation
  • Assists employees with workers' compensation claims, including completing required documentation and meeting reporting deadlines.
  • Provides guidance on medical care, submits required reports to SORM, and tracks related leave.
  • Communicates with medical providers to ensure proper claims processing.
  1. Departmental Support
  • Maintains budget records, performs reconciliations, and responds to budget-related inquiries.
  • Processes requisitions and reconciles ProCard transactions.
  • Supports accounts payable functions and purchasing activities.
  • Monitors and tracks employee tuition exemption program requirements.
  • Serves as backup for the office coordinator and assists with general HR operations as needed.

Knowledge, Skills and Abilities

  • Knowledge of human resource practices, personnel transactions, and applicable regulations (e.g., I‑9, W‑4, payroll processes).
  • Knowledge of records management and compliance requirements.
  • Strong organizational and data management skills, with attention to detail and accuracy.
  • Strong communication and customer service skills, with the ability to interact effectively at all levels.
  • Ability to use standard office software and HR systems, manage multiple tasks, and meet deadlines.

Minimum Qualifications

High school diploma/GED.

At least two years of experience working in a human resources office or performing related work; or equivalent combination of relevant education/experience may be substituted as appropriate.
