Are you a detail-oriented HR professional who thrives on keeping things running smoothly behind the scenes? We're looking for an HR Administrator to be the operational backbone of our HR team — the person employees turn to when they need answers, and the one who makes sure every process from onboarding to offboarding is handled with precision and care.

In this role, you'll pick up the employee experience right where our Talent Acquisition Manager leaves off — the moment a candidate accepts their offer. From there, you'll own the full HR administrative lifecycle: onboarding, benefits, leaves, compliance, and more. You'll work closely with our Talent Acquisiont Manager and VP, Human Resources to ensure our people are supported every step of the way.

Key Responsibilities

Onboarding & Employee Lifecycle

  • Own the new hire experience from offer acceptance through first-day orientation
  • Collect and process all new hire paperwork — I-9, W-4, direct deposit, NDAs, and policy acknowledgments
  • Set up employee profiles in the HRIS and coordinate IT, facility access, and system provisioning
  • Maintain accurate employee records and process data updates throughout the employee lifecycle
  • Manage offboarding including final pay coordination, benefits termination, and exit interviews

Benefits Administration

  • Administer 401(k) enrollment, contribution changes, employer match tracking, and employee loan/hardship paperwork
  • Manage HSA and FSA plans including enrollment, IRS limit communications, and qualifying event changes
  • Process health, dental, vision, life, and disability enrollments, changes, and terminations
  • Assist in open enrollment each year — build materials, audit elections, and confirm payroll deductions

Payroll Processing

  • Run full in-house payroll on scheduled cycles, ensuring accurate and on-time employee payments
  • Collect, review, and process employee timekeeping records — resolving discrepancies with managers before each payroll run
  • Process all payroll changes including new hires, terminations, salary adjustments, promotions, and retroactive pay
  • Manage deduction updates for benefits, garnishments, and voluntary withholdings
  • Manage multi-state payroll tax withholding, ensure accurate state and local tax setup for remote and hybrid employees

Leave Administration

  • Administer FMLA from eligibility notice through designation, tracking, and return-to-work
  • Manage the ADA interactive process — gather documentation, coordinate accommodations, and maintain thorough records
  • Process and track all leave types: state leaves, personal LOAs, military (USERRA), bereavement, and jury duty
  • Administer state-specific leave programs including [CA PFL, NY DBL, WA PFML, etc.] alongside federal FMLA, coordinating benefits continuation and payroll accordingly

Compliance & Employee Support

  • Maintain labor law postings, policy acknowledgments, and required training completion records
  • Store medical and accommodation records separately from personnel files per ADA and HIPAA requirements
  • Support HR audits with accurate, organized documentation
  • Serve as the go-to HR resource for employee questions on benefits, policies, and leave
  • Maintain compliance with multi-state employment laws including state-specific wage and hour requirements, paid leave mandates, and posting obligations across all states where employees work

Required Qualifications

  • 2+ years of HR administration experience, including hands-on payroll processing
  • Experience with an HRIS and payroll platform
  • Ability to run end-to-end in-house payroll accurately and on deadline
  • Familiarity with benefits administration — 401(k), HSA, FSA, health & welfare plans
  • Strong organizational skills with the ability to juggle multiple priorities and deadlines
  • High level of discretion and professionalism when handling confidential information
  • Clear, confident communicator — written and verbal

Preferred Qualifications:

  • Bachelor's degree preferred; relevant HR experience will be considered in lieu of a degree
  • Meticulous attention to detail — whether processing benefit enrollments, managing leave documentation, or maintaining employee records, accuracy is non-negotiable
  • Proven ability to manage competing deadlines accurately and independently
  • Comfortable communicating across all levels — from new hires to senior leadership
  • Self-directed and organized; able to own processes end-to-end without close supervision
  • Working knowledge of multi-state employment law including state wage and hour, paid leave, and tax withholding requirements
