Job Description:

The HR Coordinator is responsible for supporting the HR operations function, the onboarding process and assisting current and new team members.    Responsible for guiding new teammates through the onboarding process, ensuring a smooth transition and positive experience. This involves training, support, and communication to help teammates adapt quickly and effectively. Provides service to all teammates by compiling and maintaining human resources records and documentation related to compensation, benefits, HRIS, and payroll. Acts as a resource to all teammates by providing information and answers to HR-related questions.

 

SCHEDULE: Please note, this role is Monday - Friday, 32-40 hours per week.  This role is on-site in our Franklin, TN office.

 

 

Responsibilities:

Responsibilities: 

  • Serve as the primary resource for new hires, guiding them through the onboarding process via video, phone, and email communication ensuring compliance with state specific requirements.
  • Develop, distribute and improve onboarding materials and training programs.
  • Retrieve Offer Letter and Resume, add to UKG profile.
  • Background check responsibility from launching to the final disposition, including communicating status, escalating records to leadership, initiating adverse actions upon review and decision and notifying TA if backgrounds are not clear by start date, if applicable.
  • Uploading new teammates into UKG and checking to ensure accuracy. Responsible for auditing the new hire census to ensure we are loading accurate information. Job Description
  • Launch Onboarding and complete UKG Pro account prior to first day.
  • Ensure the I9 and E-Verify is complete and correct.
  • Provide necessary resources, tools, documentation and guidance to all teammates.
  • Travel to sites as needed to assist with onboarding of new practice team members.
  • Assist in the creation and maintenance of teammate files and documentation.
  • Provide necessary resources, tools, documentation and guidance.
  • Assist in organizing and conducting virtual or onsite HR meetings, training sessions, and workshops.
  • Assist in ensuring compliance with federal, state, and local employment laws and regulations.
  • Act as a liaison between departments to ensure a seamless transition.
  • Support HR audits and documentation as needed.
  • Generate HR reports and assist in data analysis as needed.
  • Manage HR email and phone inbox.
  • Serve as a point of contact for teammate inquiries related to HR policies, benefits, and general concerns.
  • Conduct audits including OIG and Visa audit.  Communicate findings as needed.
  • Participate in HR projects and initiatives to improve HR processes and practices.
  • Employee verification and unemployment claims support.
  • Serve as the primary administrator of the Benefits Inbox, ensuring timely, accurate, and professional responses to teammate and provider inquiries regarding health, dental, vision, flexible spending accounts (FSA), health savings accounts (HSA), 401(k), life insurance, disability, wellness programs, and other benefit offerings.
  • Research, troubleshoot, and resolve benefits-related inquiries by utilizing available resources, benefit plan documents, HRIS records, carrier portals, vendor resources, and established procedures before escalating issues.
  • Own routine benefits case management from initial inquiry through resolution, including direct outreach to insurance carriers, brokers, vendors, and internal stakeholders when necessary.
  • Administer Leave of Absence (LOA) processes, including providing teammates and leaders with initial guidance regarding leave options, eligibility requirements, and available resources.
  • Serve as the primary liaison between teammates, managers, HR, and UNUM throughout the leave administration process.
  • Provide initial guidance regarding disability claims, Family and Medical Leave Act (FMLA) leave, state leave programs, personal leave requests, military leave, and workplace accommodations, escalating complex situations as appropriate.
  • Develop and maintain benefits and leave administration procedures, templates, job aids, and knowledge resources to support consistent service delivery.
  • Support annual Open Enrollment activities, life event processing, benefit eligibility audits, dependent verification efforts, and ongoing benefits administration projects.
Qualifications:

 

Requirements:

  • 2+ years of experience with a Human Resources function providing administrative support
  • 2+ years of benefits administration experience, including health and welfare plans, retirement plans, and leave administration.
  • 1+ years of experience working with E-Verify and Pre-employment background checks
  • 1+ years of experience working with UKG HCM
  • 1+ years of experience supporting FMLA, ADA accommodations, disability claims, or leave of absence administration.

 

Preferred Skills:

  • Bachelor's degree in human resources or related field
  • Intermediate experience with MS 365 tools (Excel, PPT, Word) 
  • Knowledge of HR best practices and employment laws.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Detail-oriented and able to work independently and as part of a team.
  • Strong critical thinking and problem-solving skills with the ability to independently research and resolve issues.
  • Demonstrated ability to manage multiple priorities while maintaining accuracy and attention to detail.
