The work performed by the Human Resources Assistant is of considerable variety and complexity. Work is performed under the general direction of a higher-level employee and is reviewed for results obtained.
The primary responsibility of the Human Resources Assistant is to perform work in support of the Human Resources Department. Duties include, but are not limited to:
- Performing secretarial work of considerable variety and complexity for the Human Resources Department.
- Filing Human Resources documents and maintaining employee files.
- Maintaining alphabetical, chronological, and electronic files and records of office correspondence, documents, reports, and other materials.
- Receiving and reviewing incoming mail and emails, screening items which can be handled personally, and when necessary, forwarding items to the appropriate staff members.
- Maintaining agency-specific computer systems by entering/updating data.
- Receiving and assisting with employee inquiries.
- Compiling/preparing reports and spreadsheets.
- Creating and distributing documents.
- Maintaining calendars of staff members in the Administration Department.
- Answering employee questions.
- Setting appointments and arranging meetings.
- Assisting with payroll processing.
- Assisting with preparing and posting job advertisements, organizing resumes and job applications.
- Scheduling interviews and occasionally participating in the interview process.
- Preparing Human Resources documents, including new employee and termination files.
- Ensuring background checks are completed.
- Assisting with new hire orientation.
- Assisting employees with completing documentation.
- Collecting employment and tax information.
- Performing file and spreadsheet audits to ensure that all required employee documentation is collected and maintained.
- Accomplishing department and organization mission by completing related tasks as needed.

To effectively perform the duties of a Human Resources Assistant, individuals must be able to demonstrate varying competencies that are essential to the position, which include:
- Must be able to communicate clearly and professionally, both written and orally.
- Must possess strong interpersonal skills.
- Must be detail-oriented, able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information.
- Must be able to prioritize and plan work activities as to use time efficiently.
- Must be organized, accurate, thorough, and able to monitor work for quality.
- Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.
- Must be flexible in work assignments and processes based upon need/priority.
- Must be able to utilize Microsoft Word, Excel, and Outlook effectively.
EDUCATION and/or EXPERIENCE
Graduation from high school and at least two years of secretarial or three years of clerical and typical experience, or an equivalent combination of training and experience. Prior human resources related experience preferred.
An equivalency diploma issued by a state department of education may be substituted for high school
