The HR Administrator is responsible for coordinating and processing payroll and supporting essential HR administrative functions. This role assists accurate and timely payroll execution, maintains employee data, supports benefits and compliance tasks, and provides employees with responsive, service-oriented support. The position requires strong attention to detail, confidentiality, and proficiency with HR and payroll systems

DUTIES:

  1. Support the processing of biweekly payroll by assisting with data entry and reviewing information for accuracy in accordance with federal, state, and local regulations.

  2. Provide support for recruitment functions, taking lead on sourcing and initial contact.

  3. Assist with reviewing timesheets, earnings, deductions, leave entries, and adjustments to ensure information is complete and accurate.

  4. Help maintain payroll and employee records within the HRIS/payroll systems by updating information as directed.

  5. Support the reconciliation of payroll reports by helping identify discrepancies and routing issues to the HR Manager for resolution.

  6. Prepare and share basic payroll-related reports with the HR Manager as needed.

  7. Maintain employee files and records, including new hire paperwork, status change forms, and termination documents.

  8. Prepare standard HR documents, such as offer letters, onboarding packets, and employment verifications.

  9. Track required training, certifications, and compliance documents and follow up with employees to ensure completion.

  10. Assist with leave administration by gathering paperwork, updating records, and routing information to the HR Manager.

  11. Provide support with benefits-related tasks, including enrollment changes, basic questions, and directing employees to appropriate resources.

  12. Serve as a first point of contact for routine HR and payroll questions, escalating more complex issues as needed.

  13. Provide clear and timely communication to employees regarding pay, benefits, timekeeping procedures, and HR policies.

  14. Help guide employees on how to use HR systems, payroll self‑service tools, and required documentation processes.

  15. Assist in ensuring compliance with HR and payroll policies, as well as applicable state and federal regulations.

  16. Maintain strict confidentiality of all HR and payroll information.

  17. Support internal and external audits by gathering requested documents and data for review.

  18. Prepare and run routine HR and payroll reports under the direction of HR leadership.

REQUIREMENTS:

  • 1-2 years experience of HR and/or Payroll experience preferred
  • Transportation experience helpful.
  • Excellent communication and presentation skills with ability to influence people at all levels of the organization, both vertical and horizontal.
  • Proven problem-solving skills.
  • Highly organized and detail oriented with the ability to handle multiple projects simultaneously while exceeding established goals and objectives.
  • Proficient in ADP and HRIS systems (i.e., entering, running reports, etc.).
  • Trapeze and VDS experience helpful.
  • Able to interact effectively with a variety of internal and external customers in various positions.
  • Proficient in Microsoft Office software, Excel, and Access.
