Position Title Housing Support Coordinator Department Housing Services Reports To Housing Director or Designated Housing Program Leadership Employment Status Full-Time, Non-Exempt Starting Pay $21.00–$22.00 per hour, depending on experience and qualifications Position Summary The Housing Program Support Specialist provides administrative, transportation, documentation, and direct support assistance across Serenity Mesa’s housing programs. This position is designed to support housing operations by helping with program documentation, client transportation, intake coordination, file organization, system uploads, and general housing program tasks. The Housing Program Support Specialist is a flexible position that may assist with multiple housing programs, including transitional housing, permanent supportive housing, rental assistance programs, and recovery housing services. This position may also step in to provide basic Housing Support Specialist coverage when needed. The ideal candidate is highly organized, adaptable, detail-oriented, comfortable using multiple electronic systems, and able to work with young people and adults experiencing homelessness, behavioral health needs, substance use recovery needs, and housing instability. Essential Duties and Responsibilities Administrative and Documentation Support Upload documents into required electronic systems. Maintain organized participant files in accordance with program requirements. Assist with collecting, scanning, saving, and filing required documents. Help ensure participant records are complete, accurate, and up to date. Track missing documentation and follow up with housing staff as needed. Assist with preparing forms, notices, checklists, and program documents. Support data entry and reporting tasks as assigned. Help maintain housing program spreadsheets, logs, and tracking tools. Assist with organizing lease documents, rent documentation, inspection records, and landlord communication records. Maintain confidentiality of participant information at all times. Intake and Program Support Assist housing staff with intake preparation and intake paperwork. Help gather required enrollment documents from participants. Support participants in completing forms when appropriate. Assist with scheduling intake-related appointments. Help coordinate move-in preparation tasks. Assist with housing orientation materials and participant agreements. Support staff with follow-up items after intake or move-in. Communicate participant needs or concerns to the appropriate housing staff. Transportation Support Transport participants to approved appointments, school, employment-related activities, housing appointments, benefits appointments, and other program-related destinations. Assist with transportation connected to move-ins, document retrieval, inspections, and housing stability needs. Maintain professional boundaries during transportation. Follow agency transportation, safety, and vehicle policies. Report transportation concerns, incidents, or participant issues to the appropriate supervisor. Maintain accurate transportation logs as required. Housing Program Support Assist housing staff with basic housing support tasks as assigned. Help participants follow through with housing stability goals. Support participants with practical tasks related to housing, benefits, employment, education, and appointments. Assist with unit-related follow-up, inspections, supply coordination, or move-in tasks. Help coordinate furniture, household items, or basic move-in needs when assigned. Communicate with housing staff regarding participant progress, barriers, or concerns. Provide coverage or assistance for Housing Support Specialist duties when needed and appropriate. Systems and Technology Use and adapt to a variety of electronic systems required by Serenity Mesa and housing funders. Upload and organize documents accurately across multiple platforms. Use Microsoft Office, including Word, Outlook, and Excel. Maintain tracking tools and spreadsheets with accuracy. Learn new systems as required by funding sources, contracts, and program operations. Communicate promptly and professionally by email, phone, and internal messaging systems. Participant Interaction and Professional Boundaries Interact with participants in a respectful, supportive, and professional manner. Maintain appropriate boundaries with participants at all times. Support participants without taking over responsibilities they are expected to complete independently. Use trauma-informed, recovery-oriented, and strengths-based communication. Redirect participant concerns to the appropriate case manager or supervisor when needed. Maintain professionalism during stressful or emotionally charged situations. Team Support Provide flexible support to the Housing Director, case managers, and housing team. Assist with coverage needs across housing programs as assigned. Attend staff meetings, trainings, and supervision as required. Communicate clearly with team members regarding assigned tasks. Follow through on delegated tasks in a timely manner. Help improve organization, workflow, and consistency within the housing department. Required Qualifications High school diploma or equivalent required. Valid driver’s license required. Reliable transportation or ability to operate agency vehicles as assigned. Ability to pass required background checks. Ability to work with individuals experiencing homelessness, substance use recovery, behavioral health needs, trauma, and housing instability. Strong organizational skills. Strong attention to detail. Ability to manage multiple tasks and deadlines. Ability to operate and adapt to a variety of electronic systems. Proficiency with Microsoft Office, including Word, Outlook, and Excel. Ability to communicate professionally with participants, staff, landlords, providers, and community partners. Ability to maintain confidentiality and professional boundaries. Ability and willingness to travel throughout the community, including to areas with elevated safety concerns, while following agency safety procedures and maintaining professional judgment. Preferred Qualifications Experience in housing services, behavioral health, social services, youth services, recovery services, or case management support. Experience with electronic health records, HMIS, Kipu, Apricot, or similar systems. Experience transporting clients or providing direct service support. Experience working with young adults or individuals with substance use recovery needs. Knowledge of community resources, housing programs, benefits systems, or workforce supports. Working Conditions This position may include work in an office setting, residential program setting, community settings, participant housing units, and agency or personal vehicle transportation settings. The position may require: Sitting, standing, walking, bending, and lifting light items. Driving participants to appointments or program-related activities. Entering participant homes or housing units with staff approval. Working with participants who may be in crisis, dysregulated, or experiencing significant barriers. Managing competing priorities and urgent requests. Maintaining professionalism in unpredictable situations. This position may require staff to travel to and work in community settings, participant residences, apartment complexes, shelters, treatment settings, and neighborhoods with elevated safety concerns. Staff must be comfortable using situational awareness, following agency safety protocols, and communicating promptly with supervisors when safety concerns arise. Boundaries and Limitations of the Role The Housing Program Support Specialist is not the primary case manager unless specifically assigned by leadership. This position may assist with case management-related tasks but should not independently make major program decisions, approve housing placements, issue termination notices, authorize financial assistance, or change participant service plans without supervisor approval. Concerns related to participant safety, relapse, lease violations, crisis behavior, child safety, abuse, neglect, or program noncompliance must be reported to the appropriate housing staff or supervisor immediately.
