Household Manager & Family Assistant

About Our Family
We are a warm, high-functioning, dual-career family based in Oakland with three thoughtful, active children, 12-year-old twins and a 7-year-old, navigating a very full season of our careers, parenting, activities, travel, and life logistics.
Mom and Dad are deeply involved in the day-to-day rhythm of family life, while juggling demanding work schedules, plus frequent work travel. At the same time, the pace of life has created a growing amount of operational and mental load behind the scenes. We are seeking the right person to help create more consistency, organization, ease and follow-through within our home so we can spend more quality time together and feel less buried by constant logistics and attain some breathing room.

This role is ideal for someone who enjoys both operational oversight and hands-on support — equally comfortable coordinating calendars, managing household systems, prepping ingredients for family dinners, handling errands, organizing seasonal gear, or helping simplify the invisible mental load that builds in busy homes.
Strong emotional intelligence, professionalism, and common sense are essential. The right fit is warm and approachable while still maintaining healthy boundaries, personal accountability, discretion, and reliability.
You notice patterns, identify inefficiencies, anticipate needs, and naturally look for ways to simplify challenges before they become stressful for others. Comfortable becoming the support system that keeps moving pieces connected, tracking details across school communications, activities, appointments, travel, household maintenance, and ongoing family logistics without needing constant oversight or reminders.
Experience supporting children ages 7 through the teen years is important, particularly someone who understands how to encourage independence, executive functioning, routines, and accountability without over-functioning for the kids themselves.
Resourceful and collaborative by nature, with the ability to think strategically about building greater efficiency within the home, including helping oversee or outsource laundry, cleaning, vendors, and other operational tasks appropriately as the overall management of our home.

Key Responsibilities
Family & Child Logistics Support
- Coordinate school pickups and transportation to extracurricular activities
- Support executive functioning and routine-building for children
- Manage and consolidate school communications across multiple platforms
- Coordinate medical, dental, and activity scheduling including summer camp sign ups
- Assist with activity prep, seasonal gear, and family readiness
Household Management & Organization
- Create and maintain household organization systems
- Daily household resets and light tidying
- Prep home for cleaner visits to ensure focus remains on deep cleaning tasks
- Organize household lists, subscriptions, and recurring needs
- Seasonal clothing and gear rotations
- Decluttering and organization projects
- Coordinate donation drop-offs and home organization support
- Packing and unpacking support for family travel
Meal Planning & Kitchen Support
- Prep healthy snacks, ingredients, vegetables, and assembly-style meals
- Support dietary preferences and sensitivities within the household
- Plan and prep approximately 4-5 family meals per week
- Maintain clean, organized kitchen flow and household food systems
Inventory & Errands
- Grocery shopping and inventory replenishment
- Restock pantry, fridge, and household essentials
- Organize, manage, and track household supply lists, open loops, and recurring needs/subscriptions.
- Returns, dry cleaning, prescription pick ups and various ad-hoc errands
Vendor, Property & Home Operations
- Coordinate household vendors and service appointments
- Support home maintenance scheduling and oversight
- Research and coordinate repairs or new service providers as needed
- Manage basic Tahoe property coordination including cleaner scheduling and periodic oversight
- Coordinate car servicing logistics and household operational needs
Vehicle Maintenance
- Weekly fueling and cleaning of vehicles
- Vehicle servicing as needed
Oversee Outsourcing of: Laundry & Linen Care & Deep Cleaning Projects
- Wash/fold/organize laundry
- Ironing/steaming and special garment care
- Linen rotation
- Maintain and organize well stocked laundry areas
- Occasional deep cleaning of fridge, oven, and high-use areas
- Clean humidifiers and air purifiers
- Support organization projects and household efficiency improvements
